Job description

Position Summary

SD Solutions is seeking an Administrative Support Specialist to provide day-to-day administrative and operational support to the Transportation Security Administration's (TSA) Real Estate Management Division (REMD). This position supports executive staff and program personnel by coordinating meetings, maintaining documentation, tracking assignments, preparing reports, managing correspondence, and ensuring efficient administrative operations.

The Administrative Support Specialist will work collaboratively with the Project Manager, Senior Administrative Support Specialist, and Government personnel to ensure timely completion of program activities and contract deliverables.

Responsibilities

  • Provide administrative support for REMD program activities and daily operations.
  • Coordinate meetings, conference calls, and virtual collaboration sessions.
  • Prepare meeting agendas, minutes, attendance records, and action item trackers.
  • Maintain calendars, schedules, distribution lists, and shared mailboxes.
  • Prepare reports, spreadsheets, presentations, and other administrative documents.
  • Maintain electronic records, document libraries, and program files.
  • Assist with updating SharePoint sites and maintaining collaboration portals.
  • Track contract deliverables, assignments, and due dates.
  • Support data collection, data entry, and report preparation.
  • Assist with development and formatting of executive correspondence and briefing materials.
  • Coordinate logistics for meetings, training sessions, and organizational events.
  • Support records management and document control activities.
  • Perform quality checks on reports and administrative documentation.
  • Provide general office and administrative support to Government personnel.
  • Perform other administrative duties as assigned.

Required Qualifications

  • Associate's degree or Bachelor's degree from an accredited institution preferred.
  • Minimum 3 years of administrative support experience, preferably supporting Federal Government programs.
  • Experience coordinating meetings, maintaining documentation, and supporting executive staff.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams).
  • U.S. citizenship.

Preferred Qualifications

  • Experience supporting DHS, TSA, or other Federal civilian agencies.
  • Experience using Microsoft SharePoint Online or similar document management systems.
  • Experience supporting program management or executive offices.
  • Familiarity with Federal records management and administrative procedures.
  • Experience preparing reports, spreadsheets, and presentation materials.
