We are currently seeking a strong Administrative Support Associate for our office in Lakeland, FL. This person will play a supporting role to the entire office management team. The required tasks may vary based on our changing workload and needs. The applicant who will fit best in this position will be upbeat and friendly, calm under pressure, and have a pleasant demeanor. Those who enjoy a work environment that's positive and interactive with the entire team will likely thrive in our culture.


Requirements:

  • Bi-lingual Fluency in English and Spanish(Due to the diversity of our team, this is mandatory)
  • Experience: 3+ years in a construction office (preferred but not required)
  • The ability to pass a drug test and background check.
  • Strong organizational skills, and detail oriented.
  • Ability to handle multiple tasks simultaneously, and adapt to changing priorities.
  • Strong technology skills; proficiency in Microsoft Outlook, Word, Excel, and the ability to learn new applications.

  • Assist with various administrative tasks to support team members.

  • Maintain clear and open, respectful communication within the team and with clients.
  • Organizing and prioritizing tasks effectively.
  • Creating innovative solutions and proactive support.
  • Managing internal associate thank you cards, notes, balloons for birthdays and anniversaries, and facilitating team lunches every Friday.
  • Organizing company events and initiatives to foster a positive work environment.
  • Overseeing office supplies, uniform inventories, and ordering.
  • Pickup and Distribution of Company Mail.
  • Arrange travel for road crews, including hotels, short-term rentals, car rentals, and airfare, and be available to handle travel arrangements outside of normal hours.
  • Learning and utilize tools like Jotform, EZ Texting, calendar invites, and booking meeting rooms to streamline operations.
