As a Senior Office Associate, you will serve as a trusted business partner to department leadership, helping drive the day-to-day operations of AECI's Procurement, Land, Investment Recovery, and Physical Inventory Control team. Working in a professional office environment, you'll collaborate with leaders and employees across multiple divisions while managing a diverse portfolio of responsibilities that includes contracts, land leases, permitting, vendor compliance, records management, and executive-level administrative support. This is an ideal opportunity for an experienced professional who thrives in a fast-paced environment, enjoys wearing many hats, and takes pride in keeping people, projects, and processes running smoothly.
What You'll Do
  • Serve as a strategic administrative partner to the Managing Director and department leadership by anticipating priorities, coordinating initiatives, and helping keep critical business activities on track.
  • Manage and maintain a wide variety of department documentation, including contracts, land lease agreements, permits, RUS documentation, document retention, and compliance records.
  • Coordinate across Accounting & Finance, Information Services, Power Production, Member Services, Operations, suppliers, contractors, and external partners to ensure projects, communications, and business processes move forward efficiently.
  • Oversee third-party contractor tracking, insurance compliance, vendor onboarding, OSHA documentation, and supplier records.
  • Lead department logistics for executive meetings, leadership retreats, business meetings, and special events while managing multiple competing priorities.
  • Identify opportunities to improve processes, recommend solutions, and independently manage projects from start to finish while providing exceptional internal customer service.

What You'll Need
  • High school diploma or equivalent.
  • Five or more years of administrative or business support experience, including at least two years supporting senior leadership or executive-level management.
  • Demonstrated success working in a professional office environment where priorities shift frequently and responsibilities span multiple functional areas.
  • Experience coordinating contracts, document retention, leasing, permitting, vendor management, compliance activities, or similar business operations.
  • Excellent organizational skills with the ability to independently manage numerous projects, deadlines, and confidential information simultaneously.
  • Strong communication and relationship-building skills with the ability to work effectively across diverse departments and with internal and external stakeholders.
  • Proficiency with Microsoft Office and the ability to quickly learn procurement, records management, and business systems.

Preferred
  • Experience supporting procurement, land administration, legal documentation, or contract administration.
  • Experience managing RUS documentation, records retention, or regulatory documentation.
