Job Description

Bosch Global Software Technologies Private Limited (BGSW) is seeking a highly organized, proactive, and professional Executive Administrative Assistant to provide dedicated support to the Vice President while overseeing the day-to-day administrative operations at the BOSCH Farmington Hills office.

This role requires exceptional organizational skills, sound judgment, discretion in handling confidential information, and the ability to manage multiple priorities in a dynamic engineering and customer-focused environment. The successful candidate will serve as a trusted partner to the VP, enabling efficient execution of leadership priorities while ensuring smooth office operations.

Key Responsibilities

Executive Support

  • Manage the Vice President's calendar, appointments, and meeting schedules.

  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, visas (when required), and expense reporting.

  • Prepare meeting agendas, presentations, reports, and executive correspondence.

  • Screen and prioritize meeting requests and coordinate with internal and external stakeholders.

  • Support leadership meetings by preparing materials, taking meeting minutes, and tracking action items.

  • Handle confidential information with the highest level of professionalism and discretion.

Office Operations

  • Oversee the day-to-day administrative operations of the Farmington Hills office.

  • Coordinate facility-related activities, office maintenance, vendor services, and office supplies.

  • Serve as the primary administrative point of contact for office operations.

Customer & Leadership Coordination

  • Coordinate customer visits, executive briefings, workshops, and leadership reviews.

  • Manage visitor logistics, meeting room scheduling, catering, and event coordination.

  • Ensure a professional experience for customers, partners, and senior leadership visitors.

Engineering & Business Support

  • Support engineering leadership with administrative coordination for customer programs and strategic initiatives.

  • Coordinate onboarding logistics for employees, contractors, and visiting associates.

  • Assist with purchase requisitions, invoice processing, vendor coordination, and budget tracking.

  • Maintain administrative records and documentation.

Global Coordination

  • Schedule meetings across North America, Europe, India, and Mexico while accommodating multiple time zones.

  • Coordinate logistics for global leadership visits, engineering workshops, and cross-functional meetings.

  • Support communications between global teams and business units.

Employee Engagement

  • Organize leadership town halls, employee engagement activities, team events, and recognition programs.

  • Support internal communications and leadership announcements.

Qualifications

  • Bachelor's degree or equivalent combination of education and experience.

  • 5-8 years of experience providing executive-level support to senior leaders, including Directors, Vice Presidents, or higher.

  • Prior experience in an engineering, automotive, technology, or consulting environment is preferred.

  • Excellent written and verbal communication skills.

  • Strong organizational, planning, and time-management abilities.

  • Ability to work independently with minimal supervision.

  • High degree of professionalism, confidentiality, and executive presence.

Technical Skills

  • Microsoft Office (Outlook, Word, Excel, PowerPoint)

  • Microsoft Teams and SharePoint

  • SAP or similar ERP systems (preferred)

  • Travel and expense management tools

  • Strong presentation and document preparation skills
