Administrative Manager
Full Time Salaried: Monday - Friday, 8:30 a.m. to 5:00 p.m.
Pay Range: $73,000 - $78,000 Annually
Job Summary:
The Administrative Manager assists the Executive Director in the execution of duties. Under the direction of the Executive Director provides analytical and specialized administrative support of a non-routine, non-repetitive nature. Analyzes problems, determines approach, compiles and analyzes data, and prepares reports, recommendations for action by superior. Work is generally of a critical or confidential nature and requires a broad working knowledge of departmental and company practices, policies and procedures.
ESSENTIAL FUNCTIONS
Include the following. Other duties may be assigned as necessary.
• Provides quality Customer Service efficiently to residents, families, co-workers and vendors in a manner to ensure satisfaction.
• Plan conferences, sets up meetings and takes minutes.
• Schedules appointments, gives information to callers, composes and sends correspondence.
• Assists with Resident issues, concerns and/or complaints.
• Contacts company personnel at all organizational levels to gather information and prepare reports.
• Prepares memorandums outlining and explaining administrative procedures and policies to supervisory staff.
• Assignments may be found in various functional areas of the company such as finance, marketing, human resources etc.
• Directly supervises 1-2 employees who work as administrative support, including the Reception desk. Responsibilities in accordance with the organization's policies and applicable laws including interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
• Performs all duties in a safe and efficient manner. Reports any safety hazards and/or accidents to supervisor.
• Attends all mandatory in-service meetings. Complies with all department and facilities policies and procedures.
JOB REQUIREMENTS and QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or abilities required. • Bachelor's degree (B.A.) from a 4-year college or university; or 1-2 years related experience and/or training; or equivalent combination of education and experience.
• Ability to read, analyzes, and interprets general business periodicals, professional journals, technical procedures, or governmental regulations; ability to write reports, business correspondence and procedure manuals; ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
• Ability to calculate figures and amounts such as discount interest commissions proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
• Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
