Job description

Position Summary:

We are seeking a reliable and detail-oriented Administrative Assistant to support our construction operations team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office and job sites. From coordinating schedules to maintaining documentation, the Administrative Assistant plays a key role in keeping our projects organized and on track.

Key Responsibilities:
  • Provide general administrative and clerical support, including filing, scanning, copying, and data entry

  • Answer and direct phone calls and emails in a professional manner

  • Maintain project files and documentation (contracts, permits, drawings, etc.)

  • Prepare and format reports, invoices, purchase orders, and other business correspondence

  • Track project deadlines, meetings, and key milestones

  • Coordinate with vendors, subcontractors, and suppliers to obtain required documentation

  • Assist with timesheet collection and job cost tracking

  • Maintain office supply inventory and order materials as needed

  • Support the project management team with scheduling and communication

  • Ensure compliance with company procedures and construction regulations

Qualifications:
  • High school diploma or equivalent; Associate's or Bachelor's degree a plus

  • 2+ years of administrative experience, preferably in a construction or related industry

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.)

  • Familiarity with construction software (Procore, Sage, Buildertrend, etc.) is a plus
