As our Human Resources & Accounts Payable Assistant, you'll play a key role in keeping the organization running smoothly. From supporting payroll, recruiting, onboarding, and benefits administration to ensuring accurate and timely payment of invoices, your work will directly support both our employees and our financial operations.ย 

You'll also be at the heart of executive operations-helping prepare for Board meetings, maintaining critical records, supporting compliance efforts, and creating polished, professional communications that reflect the organization's high standards.ย

Human Resources related job duties:

ย ย Completes biweekly payroll

ย ย ย Recruitment activities

ย ย ย New hire orientation

ย ย ย Benefits administration

ย ย ย Personnel files

Has responsibility for accounts payable; pays the Bank's bills accurately and on a timely basis; follows procedures to authenticate invoices and ensures that no duplicate or fraudulent invoices are paid.ย 

Manages and files notary applications and renewals.

Cross trains in performing functions of other accounting staff to act as back-up of staff person's primary responsibilities on occasion.ย 

Prepares a variety of correspondence and documents with a high degree of accuracy and confidentiality

Prepares for Board meetings; collects policy revisions and agenda items; prepares meeting minutes; maintains corporate minute book in confidence

Maintains copies of Board agendas and minutes for reference by auditors, examiners, and senior officers

Ensures all policies are updated in a timely manner.

Prepares appropriate documents for annual meeting

Generates departmental reports, as needed.

Updates daily rates on website

Assigns daily online leads to appropriate personnel

Administrative duties, such as, mail and back-up receptionist.

Provides assistance to others as the need arises and as directed by the Controller and Human Resources Director.

Is responsible for successful completion of all required compliance training.ย 

Performs job duties in accord with relevant training

Conducts oneself in accord with the Bank's core values

Requirements

  • An Associate degree in accounting, human resources or administrative assistant program, or equivalent work experience
  • 3 to 5 years of related work experience, preferred
  • Proficiency with Microsoft Word, Excel, Outlook, Teams and Loop
  • Excellent customer relations demeanor; professional in appearance and communication
  • Ability to work independently
  • Maintain a high level of confidentiality ย ย ย ย ย 
  • The ability to accurately produce professional looking documents
  • Excellent proofreading skillsย 
  • The ability to prioritize the workload with good time management and organizational skills
  • Ability to be trained and become proficient on a variety of software programs
  • Excellent interpersonal skills
