Administrative Assistant Summary:
In this role, the Administrative Assistant provides administrative and clerical support to ensure the efficient operation of the office. The Administrative Assistant will be responsible for managing daily office functions, handling correspondence, maintaining records, supporting management, and assisting with various administrative tasks. The ideal candidate is highly organized, detail-oriented, and must be proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

Administrative Assistant Pay Rate: $18-22/hr. DOE

Administrative Assistant Hours: Monday - Friday, 7:30am-4:30pm

Administrative Assistant Duties & Responsibilities:
  • Answer and direct incoming phone calls in a professional manner.
  • Greet visitors and provide excellent customer service.
  • Manage calendars, appointments, and meeting schedules.
  • Prepare, edit, and maintain documents, reports, spreadsheets, and presentations.
  • Handle incoming and outgoing mail, emails, and correspondence.
  • Maintain accurate filing systems, both electronic and physical.
  • Enter and update data within company databases and software systems.
  • Assist management with administrative projects and daily office operations.
  • Coordinate meetings, prepare meeting materials, and record meeting notes as needed.
  • Order and maintain office supplies and inventory.
  • Process invoices, purchase orders, and other administrative paperwork.
  • Maintain confidentiality of sensitive company and employee information.
  • Assist with onboarding paperwork and general human resources administrative tasks.
  • Organize and prioritize multiple assignments while meeting deadlines.
  • Perform additional administrative duties as assigned.
Administrative Assistant Basic Requirements:
  • Previous Administrative Assistant, Office Assistant, or related administrative experience required.
  • Must be proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Strong Excel skills, including data entry, formatting, and spreadsheet management.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Ability to multitask and work efficiently in a fast-paced environment.
