ADMINISTRATIVE ASSISTANT
This part-time position provides a variety of general office and reception support, serving as the first point of contact for guests, employees, and visitors. Responsibilities include answering inquiries, providing information about company services, activities, and department locations, and assisting customers and staff with their needs. Duties also include performing a wide range of administrative tasks such as drafting correspondence, scheduling appointments, and organizing and maintaining both paper and electronic files. The Administrative Assistant ensures smooth daily operations while creating a professional, welcoming, and service-oriented environment for all who interact with the organization.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
  • Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
  • Answer telephone, screen and forward calls providing information, taking messages and scheduling appointments.
  • Schedule someone to watch phones while out in advance.
  • Perform administrative functions such as drafting, editing and proofreading various types of correspondence.
  • Serve as point of contact for certain business relationships, including coordination of calls, meetings, tasks and projects.
  • Organizes, maintains, and or purges files, documents, and/or logs.
  • Enters, scans, retrieves information from manual and electronic files.
  • Assist all departments as requested.
  • Keep the office clean and organized, removing trash daily and keeping the lobby free of packages and clutter.
  • Organize office and banking supplies orders. Distribute and store supplies.
  • Collect, sort, distribute and prepare mail, messages and courier deliveries. Trips to the post office when necessary; schedule FedEx pickups. Check mail daily. Date stamp each piece of mail, and deliver it to the appropriate person and/or department.
  • Provide information about business such as location of departments or offices, employees within the organization, or services provided.
  • Transmit information or documents to various locations or vendors, using computer, mail, delivery or facsimile machine.
  • Monitor the facility to ensure that it remains safe, secure, and well-maintained.
  • Accept all deliveries of paperwork from all locations; pick up all undelivered paperwork from all locations.
  • Additional duties as assigned.
  • Assist in maintaining uniform inventory and processing uniform transactions.
  • Assist Human Resources and Accounting with special projects.
  • Superior attendance and punctuality.
  • Attendance in mandatory meetings, training, workshops, and/or seminars.
  • Uniforms and/or clothing should always be business professional.

REQUIRED QUALIFICATIONS:
  • Must be at least 21 years of age.
  • Must be able to obtain a Gaming and ABLE License.
  • Must be able to pass a background check.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
  • Ability to work independently and as part of a team, with a positive attitude and willingness to assist others.
  • Maintain a professional appearance at all times.
  • Mature judgment and professionalism in handling all matters.
  • Required knowledge of administrative and clerical procedures and systems such as managing files and records and other office processes, procedures, and terminology.

WORKING CONDITIONS AND PHYSICAL EFFORT:
  • Ability to sit for prolonged periods while working at a computer, with frequent standing, walking, and movement throughout the office to attend meetings, collaborate with employees, and support daily operations.
  • Reaches, bends, stoops, lifts, and pushes (Uniform Maintenance).
  • Lifts and carries supplies and cases, weighing up to 30 lbs.
  • Essential hand/eye coordination.
  • Noise level is moderate to high.
  • Limited exposure to physical risk.
  • Moderate physical effort required.
