Job description

Position: Administrative Assistant
Location: Technology Department @ MSEAC / FPS District Offices
Employment: 12 months, Full-Time, Week Days
Salary: $18.20 - $20.10 starting, per hour, depending on experience. If bilingual in English/Spanish, starting rate per hour is $20.10 - $22.19.
Benefits: Paid vacation, holidays, sick leave, fully paid single health and dental insurance, and paid LTD. Additional optional benefits are available such as vision insurance, life insurance, flexible spending accounts, and more. Fully paid family health insurance provided beginning year 4 with the District.
Position Available: October 1, 2026
Reports To: Director of Technology

JOB TITLE: Administrative Assistant - Technology Department
REQUIREMENTS:
Education Level:
  • High School Diploma
  • Some college level preparation or advanced training preferred
Experience Desired:
  • Considerable experience in being responsible for clerical and secretarial work, preferably for an administrator
  • Experience in enterprise class systems to manage devices, users, and data
  • Experience with customer service
  • Experience with financial record keeping and purchasing processes
Other Requirements:
  • Work twelve (12) months a year
  • Effective oral and written communication skills
  • Considerable knowledge in Business English, spelling, and math
  • Ability to understand and follow oral and written instructions
  • Considerable skill in operation of standard office equipment, especially with computers and software, and excellent keyboarding skills
  • Ability to work effectively with administrators, staff, and patrons of the District
  • Knowledge of modern office practices, procedures, equipment and filing systems
  • Ability to learn and apply the procedures and services of the function to which assigned
  • Ability to keep moderately complex records, to assemble and organize data, and to prepare reports from the records and data compiled
  • High ability to work independently on responsible and confidential administrative assignments and secretarial tasks
REPORTS TO: Director of Technology
ESSENTIAL FUNCTIONS: The essential functions of each employee's position includes (1) regular, dependable in-person attendance on the job to meet time sensitive demands; (2) the ability to perform the identified tasks and to possess and utilize the identified knowledge, skills, and abilities to perform the identified work activities; and (3) the ability to perform the physical requirements of their specific job description.
Basic:
  • Work involves performance of varied clerical and secretarial duties which involve a high degree of independent judgment. Work also involves performance of complex office duties and some delegated administrative details. The job entails exercising discretion in performing office duties keeping informed of District policies, rules, and regulations. Work assignments are typified by considerable range and complexity of assigned duties and the initiative and independence expected. Work assignments are received in general form and are performed with independence. Operation of an alphanumeric keyboard is an integral part of the essential functions of this job.

  • Demonstrates the ability and willingness to perform and fulfill assigned duties as designed by the director
  • Maintain filing systems and financial records (requisitions, POs, invoices); track orders
  • Receives and screens telephone calls and visitors; assists the director in the performance of his/her duties; answers questions or refers to appropriate parties; arranges and schedules meetings as requested; assists with other district level operations
  • Operate and Manage Copy Shop: time management, workflow, priority of time sensitive jobs, manage supplies, job tracking
  • Prepares agendas for meetings and prepares and distributes meeting notices
  • Acts as a custodian of office documents pertaining to the department
  • Assist with receiving delivery of orders
  • Assist with hardware inventory, unboxing, prep work, and device assignment
  • Assist with id badge creation and manage supplies
  • Performs related work as required.
