Job description

Working in a fast-paced environment, the Administrative Assistant will partner with an Account Executive, as part of a team, to assist in monitoring internal production of projects to ensure client specifications and deadlines are met. The Administrative Assistant will be required to learn the basics of the industry in order to communicate knowledgeably about the company’s products and services with potential and current clients.

Primary duties/responsibilities:

The Administrative Assistant will perform various office and administrative support duties, including, but not limited to:

  • Understand Colorchrome’s printing, framing and other art services in order to successfully and confidently collaborate with Colorchrome team members as well as clients
  • Master internal sales software, as well as vendors’ portal software, in order to accurately and efficiently enter work orders
  • Assist team with quoting client projects in a timely manner
  • Coordinate with Production Managers to calculate and confirm amount of material needed for each job and to ensure all materials needed for job completion are on-site on-time
  • Obtain client approval on quotes and samples in order to proceed with production
  • Print and distribute work orders and job copies
  • Coordinate with Production and Shipping Managers to ensure jobs are completed effectively, according to customer specifications, and on-time with a minimum of defects or mistakes and then shipped to the correct location or arranged to be picked up at Colorchrome
  • Photograph products prior to packaging when necessary
  • Coordinate packaging and shipping logistics with Shipping department
  • Arrange for installation of completed jobs
  • Invoice completed orders upon shipping or client pick-up
  • Ensure all Colorchrome invoices are paid in full and on time
  • File completed job copies electronically or physically
  • Proactively problem-solve and offer suggestions for process improvements
  • Demonstrate daily discipline and a desire to achieve goals with limited guidance, taking responsibility for all results
  • Employ good listening skills and demonstrate good communication skills

Required Skills and Background:

  • Highly organized and detail oriented
  • Exemplary verbal and written communication skills, demonstrating attention to detail and strong follow-up
  • Proficiency in Excel, Word and Outlook required
  • Agile problem-solving skills
  • Self-motivated and able to work independently in a fast-paced environment
  • Previous experience in printing and/or custom framing industries is preferred
  • Associates degree or Bachelor’s degree from a four year college or university preferred
