Dedicated Customer Team Support
Job Summary
The Associate, Sales Ops/Administration role is a dedicated resource for an assigned customer or account team. The role supports Sales and, based on team needs and priorities, may also support Supply Chain, eCommerce/Digital Merchandising, and Category Management/Analytics with executional, basic reporting, entry-level analytical, and administrative tasks. The Associate owns defined coordination and execution processes while providing flexible support in other areas. Functional teams retain ownership of strategy, decisions, forecasts, content, workstreams, and external or HQ relationships.
Key Responsibilities
Dedicated Customer Team Support
  • Serve as a dedicated day-to-day coordination and execution resource for an assigned customer or account team, adapting support to the team's priorities and ways of working.
  • Attend team calls, customer-preparation meetings, and working sessions as needed; coordinate inputs, document actions and deadlines, follow up as needed, and communicate applicable risks or gaps.
  • Support Sales and, when requested, Supply Chain, eCommerce/Digital Merchandising, and Category Management/Analytics with reporting, data gathering, monitoring, presentations, and other executional or administrative tasks.

Core Process Ownership
  • Own the end-to-end item setup and setup-management process for assigned items and features, including gathering required information, coordinating review and approval, completing applicable customer and internal setup steps, tracking status, resolving setup issues, and maintaining accurate records. Include Sales and Supply Chain in vetting MDP data for accuracy before use or submission (does not own communication with brand or MDP).
  • Own and execute the applicable CTL process, including requirements, timing, coordination, documentation, and follow-up.
  • Own product sample ordering and coordinate sample inventory and shipping with the Sales team and appropriate partners for assigned customer meetings, layout centers, audits, and team needs.
  • Own assigned store audits and related recaps. Support assigned online audits in partnership with Sales, eCommerce/Digital Merchandising, and/or Analytics, as appropriate.
  • Own completion of assigned warehouse-area and conference-room cleanup and readiness tasks in partnership with the Sales team, including product organization, sample inventory, and meeting setup. The role does not own the spaces or facilities function. Is designed as a support function with sales and workplace team.

Flexible Cross-Functional Support
  • Support Sales with customer calendars, line review preparation, deck updates, meeting materials, Perfect Launch tracking, promotion tracking from planning through post-event recap, pricing errors or price monitoring and other customer execution needs.
  • May support Supply Chain, including but not limited to special projects, promotional or feature auditing and tracking, launch monitoring, and other Supply Chain-related support as time and priorities allow.
  • May support eCommerce/Digital Merchandising with content-score and ratings-and-reviews audits, approved digital reporting, and issue tracking. The role identifies and alerts the appropriate owner to gaps but does not create or correct digital content or own ratings-and-reviews implementation.
  • May support Category Management/Analytics with approved data pulls, scorecards, promotion or feature reporting, competitive observations, and other entry-level analytical tasks; accountable teams own the analysis, recommendations, and decisions.
  • May support special projects and other executional, reporting, or administrative needs as priorities and capacity allow.

Projects, AI & Continuous Improvement
  • Use retailer-specific systems and portals to monitor status, retrieve information, and support accurate tracking for the assigned customer team in accordance with customer requirements and established internal processes.
  • Incorporate approved AI capabilities and internal tools into daily tasks and team projects to simplify work, improve accuracy, streamline processes, and reduce manual effort; share effective use cases across teams while following company policies and data-governance requirements.
  • Partner with other Sales Operations/Administration associates and Sales Coordinators to align on ways of working, share best practices, identify recurring pain points, and improve team processes, templates, and workflows.
  • Capture ways of working and trainings of all applicable processes and procedures for the sales enablement team and sales team.

Role Boundaries
  • Ownership is limited to the assigned item setup/setup-management process, CTL process, sample ordering and coordination, store audits, and completion of assigned warehouse-area and conference-room cleanup and readiness support tasks. Online audits are supported but not owned.
  • Outside these defined areas, the role may provide support but does not own functional workstreams, strategy, forecasts, replenishment, pricing, content, analysis, recommendations, or decisions.
  • Does not key data into NTN or other excluded databases; it may complete applicable item-setup steps in approved customer and internal systems as part of its item setup ownership.
  • Does not respond on behalf of or own Brand, MDP, or Merchant relationships; questions and actions are routed to the accountable relationship owner.

Qualifications & Requirements
  • Bachelor's degree.
  • 2+ years of relevant experience in CPG, retail, sales support, customer operations, or a related field.
  • Walmart, Sam's Club, and/or BJ's experience preferred.
  • Knowledge of applicable customer systems and portals preferred (for example: Retail Link, Item 360, QMS, Quest, Scintilla, Supplier One, NOVA, and Madrid).
  • Strong Microsoft Excel, PowerPoint, Outlook, and general Windows skills.
  • Highly organized and detail-oriented, with the ability to manage multiple priorities, redirect quickly, and consistently follow tasks through to completion.
  • Collaborative communicator with strong follow-up, problem-solving, and interpersonal skills.
  • Self-starter with a bias for action, a team-oriented mindset, and the judgment to surface challenges with potential solutions.
