Administrative Assistant / Client Service Assistant

My Retirement Store – Birmingham/Hoover, Alabama

Full-Time | Monday–Friday | In Office

About My Retirement Store

My Retirement Store is a growing independent insurance and retirement planning agency helping individuals and families navigate Medicare, retirement income, life insurance, and other retirement-related decisions.

We are looking for a dependable, professional, and highly organized Administrative Assistant / Client Service Assistant to join our team.

This is an important position in our office. You will often be one of the first people our clients speak with, so we're looking for someone who is friendly, confident, organized, and genuinely enjoys helping people.

What You'll Do

Your responsibilities will include:

  • Answering incoming phone calls and assisting clients
  • Scheduling and confirming client appointments
  • Greeting clients and helping maintain a professional, welcoming office
  • Managing calendars and appointment follow-up
  • Preparing paperwork for client meetings
  • Processing and tracking insurance applications and service requests
  • Following up with insurance carriers regarding pending business
  • Updating client information and maintaining accurate records
  • Scanning, uploading, organizing, and securely handling client documents
  • Assisting with Medicare and insurance-related administrative tasks
  • Helping prepare materials for client workshops and educational events
  • Providing general administrative support to the agency
  • Learning our systems and processes so you can become an important part of the client service team
