Job description

Summary

Reporting to the Regional Branch Manager, the Branch Administrator is responsible for providing administration and reception support for a fast paced, high volume Service Branch environment. Duties will include but are not limited to managing branch phones, invoicing, payroll, data entry, verification and processing, filing and maintaining office supplies. This is a full-time in-office position.

We seek a candidate who has a core foundation of integrity and is willing and able to use commitment and creativity to drive our organization towards success. This position is based out of the Grande Prairie Service branch.

Responsibilities and Duties
  • Manage the branch phones in a professional and courteous manner.
  • Create accurate parts and service invoices for customers
  • Troubleshoot and direct telephone calls accordingly.
  • Support centralized Accounts Receivable, Accounts Payable & Payroll functions.
  • Verification of Field Technician time sheets and data entered into service orders.
  • HSE administration support - schedule safety meetings, reporting as required.
  • Front line contact and support for couriers, visitors, employees and customers.
  • Create, receive and move Purchase Orders required on a daily basis.
  • Process all incoming and outgoing mail.
  • Responsible to order supplies and maintain inventory of office supplies.
  • Provide support to office supervisors and managers
  • Other duties and projects as assigned.
Qualifications
  • Demonstrate ability to work in a busy environment, maintaining a positive and flexible attitude.
  • 1-3 years reception/administration experience is considered an asset.
  • Superior customer service and communication skills.
  • Detail oriented with strong organizational skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook).
  • The ability to handle a very busy and demanding front end.
  • Organized with the ability to multi-task and take initiative.
  • Able to work independently with little supervision.
  • Reliable, dependable and motivated.
  • Team player who can support co-workers in the branch and virtually from other locations.ย 
  • SAP experience is an asset.ย
