Job description

Our HSE client is currently seeking a flexible, enthusiastic, and service-oriented Administrative Assistant in their SE Calgary office for a 2 week coverage starting immediately.  The successful candidate will be an experienced office administrator who thrives in a fast-paced, people-focused environment and enjoys being at the center of daily office operations. Responsibilities:
  • Oversee daily office administration and front-desk operations
  • Greet and support employees, visitors, vendors, and service providers
  • Coordinate building maintenance requests, facility repairs, and vendor relationships
  • Maintain updated floor plans and support office moves and seating assignments
  • Manage meeting room scheduling, setup, catering, and basic technology coordination
  • Handle hospitality needs, including stocking supplies, maintaining kitchen areas, and ordering/setting up lunches
  • Support office and facilities budget administration, invoices, and expense tracking
  • Oversee security and access management, including cards and visitor passes
  • Maintain office procedures manuals and train backup support staff
  • Provide general office management and administrative support across departments
Requirements:
  • A Bachelor’s degree or diploma in Business Administration or a related field is preferred
  • Intermediate knowledge of MS Word, Excel, and Outlook
  • Excellent verbal and written communication skills
  • Strong organizational skills with the ability to prioritize deadlines and work under pressure
  • Flexibility and a willingness to help wherever needed
