Job description

The Sales Administrator will report directly to the Managing Director and play a key role in coordinating the sales pipeline, ensuring efficient lead management, customer engagement, and process optimization. This position supports the sales team by streamlining operations and enhancing customer satisfaction, requiring excellent organizational, communication, and administrative skills. Occasional travel (1-2 times per year) may be required for trade show events.

Work Schedule:

  • Monday – Thursday: 8:00 AM – 5:00 PM
  • Friday: 8:00 AM – 2:00 PM

Key Responsibilities:

Lead Management:

  • Serve as the first point of contact for inbound and outbound sales leads.
  • Collect and document key lead details, including project requirements, stakeholders, budgets, timelines, project stages, and urgency levels.
  • Grade and prioritize leads to assign them to the appropriate sales engineer.

Sales Pipeline Coordination:

  • Monitor and ensure every active lead has appropriate follow-up actions scheduled.
  • Track and report on pipeline activity, highlighting overdue tasks or opportunities requiring escalation.
  • Maintain accurate records of customer interactions and updates in the CRM system.

Customer Engagement:

  • Conduct follow-up calls with prospects and customers to ensure consistent progress through the sales funnel.
  • Schedule and coordinate presentation calls, follow-ups, and meetings with internal and external stakeholders.
  • Maintain and manage the sales team’s calendar to ensure no opportunities are missed.

Post-Sale Activities:

  • Conduct during-sale and post-sale interviews with customers to gather feedback and identify potential concerns.
  • Facilitate the collection of customer reviews and testimonials.
  • Report on customer satisfaction metrics and provide actionable insights for improvement.

Administrative Support:

  • Prepare proposals, presentations, and sales materials as needed.
  • Compile data for sales reports and performance metrics.
  • Provide logistical support for sales events and presentations.

Qualifications:

  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency with CRM software (e.g., Salesforce, HubSpot) and MS Office Suite.
  • Previous experience in sales support, administrative, or customer service roles preferred.
  • Ability to work collaboratively and adapt in a fast-paced environment.
