POSITION SUMMARY: The Toyota Rent-A-Car (TRAC) Administrator is primarily responsible for ensuring all TRAC customers are provided the necessary information while renting a Toyota vehicle through the TRAC program while providing the highest level of customer service and satisfaction.

ESSENTIAL DUTIES:

Greet all customers in a courteous and professional manner.

Answer all incoming phone calls. 

Learn all policies and procedures of the Toyota Rent-A-Car Program. 

Assist the in the day-to-day operations of the department.

Outline to customers the benefits associated with the TRAC Program, including but not limited to, the roadside assistance program.

Ensure that potential renters are qualified to participate in the TRAC program.

Complete rental contracts appropriately and accurately.

Regularly review qualification standards for all rental customers and additional drivers.

Make sure rental vehicles are cleaned, washed, and prepared for future rental customers as soon as they are returned (unless there is damage). 

Quote prices & secure reservations. 

Sell protection packages, upgrades, and fuel. 

Develop new business relationships and maintain current ones. 

Respond to rental leads. 

Inspect vehicles for damage and report to supervisor immediately. 

Complete damage reports and initiate insurance claims. 

Set up billing with insurance companies and corporate accounts. 

Demonstrate vehicle features and address concerns to renters.

Maintain vehicle maintenance records and assist in maintaining a properly cared for rental fleet.

Requirements

Follow procedures and policies set forth by management, the Employee Handbook and the Non-DOT Drug and Alcohol Policy.

Keep a neat and orderly work station.

Be willing to perform necessary tasks outside of normally assigned duties and responsibilities to help the Toyota Service Manager operate the TRAC Department productively and efficiently.
