Position Summary
Winston-Salem State University is seeking an Associate Registrar to join the team in the Office of the Registrar! The Associate Registrar provides leadership and oversight for core functions within the Office of the Registrar, including student records management, registration services, curriculum and course scheduling, degree audits, graduation processing, and compliance with institutional, state, federal, and UNC System policies. This position ensures the accuracy, integrity, security, and timely maintenance of all academic records and supports the delivery of efficient, student-centered services across the University.
In addition to operational oversight, the Associate Registrar supervises professional and support staff, coordinates workflow processes, and collaborates with academic and administrative departments to support enrollment management initiatives and institutional priorities. The role serves as a key contributor to data reporting, policy implementation, and continuous improvement efforts that enhance student success and operational effectiveness.
Responsibilities of the Associate Registrar include:
  • Oversee the coordination of office functions connected to course scheduling, classroom assignments, registration, grading, degree clearance, and NCAA compliance.
  • Advise students, staff, and faculty on academic policies and unit standards; conduct records audits.
  • Interpret and apply university policies, federal regulations, FERPA requirements, and accreditation standards.
  • Collaborate with faculty and administrators to improve processes for collecting and distributing student academic information.
  • Oversee transcript fulfillment services, including full management of the university's Parchment transcript system, workflows, and reconciliation.
  • Lead registration setup processes in Ellucian Banner, ensuring timely and accurate configuration of terms, time-ticketing, and student registration controls.
  • Execute End of Term processing, finalizing student academic records for the semester.
  • Manage academic standing processing, ensuring timely calculation, Banner updates, and communication of outcomes.
  • Represent the Registrar's Office on University committees and collaborate with Enrollment Management partners.
  • Serve as data steward for the student information system (Banner Student), ensuring data accuracy, compliance, and security.
  • Strengthen reporting and data visualization capabilities using Microsoft Excel and other reporting tools to support enrollment and student success initiatives.
  • Collaborate with Institutional Research and Effectiveness to ensure appropriate reporting to the UNC System, National Student Clearinghouse, and other agencies.
  • Build and maintain strong working relationships with faculty, staff, administrators, students, alumni, and external partners.
  • Communicate policies and procedures clearly and diplomatically, especially in sensitive situations.
  • Demonstrate a "student-first" approach to service delivery.
  • Plan, assign, and supervise the work of the Office Registrar team; ensuring accountability, performance management, and professional development.
  • Provide candid and timely feedback; resolve conflicts constructively.
  • Ensure completion of performance evaluations for direct reports and develop team succession plans.
  • Ensure compliance with FERPA, NCAA, UNC System regulations, and institutional policies.
  • Train staff, faculty, and advisors on Banner, records policies, and registration procedures.
  • Partner with the University Registrar on succession planning and leadership development to prepare for potential transition into the Registrar role.
  • Collaborate with the Office of Information Technology on Banner system enhancements, testing, upgrades, and troubleshooting.
  • Develop and maintain a comprehensive succession binder with updated SOPs for all core Registrar functions.
  • Shadow the University Registrar in cross-divisional leadership activities and reflect on leadership readiness.
  • Lead at least one cross-functional initiative per year that aligns with WSSU's enrollment growth or student success priorities.
  • Coordinate UNC Data Mart corrections.
