Position Summary:The Accounting Assistant plays an important role in supporting the day-to-day financial operations of Ace Distributing by helping ensure the accuracy, integrity, and timeliness of accounting transactions and reporting processes. This position supports a variety of accounting and administrative functions related to accounts receivable, settlements, deposits, electronic payments, supplier transactions, and financial recordkeeping.
The ideal candidate is detail-oriented, dependable, and highly organized, with the ability to manage multiple priorities while maintaining professionalism and confidentiality. This role is well-suited for an individual who enjoys working in a collaborative, fast-paced environment and is looking to continue developing their accounting and business operations experience within a family-owned organization.
Key Responsibilities:- Process Financial Transactions and Reconciliations: Support daily accounting operations by processing customer payments, bank activity, while ensuring accuracy and timely reconciliation of financial records.
- Manage Accounts Receivable Functions: Assist with accounts receivable activities including escrow accounts, returned checks, account balancing, and compliance with company procedures and applicable PLCB regulations.
- Oversee Electronic Payment Processing: Maintain and support electronic payment systems, including Fintech and Pay Link enrollments, updates, remittance reconciliation, and deposit verification processes.
- Support Supplier and Inventory Accounting Activities: Assist with supplier and wholesaler financial transactions by verifying purchase orders, pricing, billable coding, and other accounting documentation to ensure consistency and accuracy.
- Provide Administrative and Cross-Functional Support: Maintain organized financial records, assist with reporting and analysis, communicate effectively with internal departments, and provide support to leadership and team members as needed. Assist with accounting - operational functions as needed.
- Maintain Financial Integrity and Confidentiality: Follow established accounting procedures and internal controls, safeguard confidential information, support process improvement initiatives, and represent Ace Distributing professionally in all interactions.
Requirements
Qualifications:- Two (2) years of relevant accounting, bookkeeping, or office administration experience preferred, or an equivalent combination of education and experience.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook; prior accounting software experience preferred.
- Strong attention to detail with a high level of accuracy and organizational ability.
- Demonstrated ability to prioritize multiple responsibilities and manage time effectively in a fast-paced environment.
- Strong communication and interpersonal skills with the ability to work collaboratively across departments.
- Dependable, adaptable, and willing to learn and grow within the organization.
