Job description

Location: Embassy Suites La Jolla, San Diego

Pay Range: $24.00 – $26.00 per hour (non-exempt), depending on experience and qualifications.

Job Summary

We are seeking a detail-oriented, guest-focused Sales & Group Coordinator to support the sales effort and coordinate group business, handling lead and inquiry management, account and contract administration, marketing materials, and clerical duties that keep the Sales and Catering office running. The ideal candidate thrives in a hospitality environment, enjoys collaboration, and is committed to delivering exceptional guest experiences.

Key Responsibilities

  • Respond to incoming sales leads, RFPs, and group inquiries, and route them to the appropriate sales manager within established timeframes.

  • Prepare and send proposals, contracts, addenda, and sales agreements for the Director of Sales and sales manager review.

  • Maintain accounts, contacts, traces, and the group and transient sales pipeline in Salesforce (FDC) and other approved Hilton systems.

  • Coordinate and confirm site inspections, client tours, and familiarization visits.

  • Prepare and distribute group resumes, banquet event orders (BEOs), and operational communications in alignment with Hilton brand standards.

  • Compile sales reports, including production, pace, lead conversion, and group pickup, as directed by the Director of Sales.

  • Coordinate group room blocks, rooming lists, cut-off dates, and pickup with the front office and revenue management.

  • Participate in post-event follow-up, thank-you correspondence, and documentation as assigned.

  • Support the achievement of group revenue, service, and guest loyalty objectives through accurate coordination and execution.

  • Maintain accurate group and sales records, including contracts, room blocks, rooming lists, event details, resumes, and changes in approved Hilton systems

Qualifications

  • College coursework in a related field is helpful.

  • High School diploma or equivalent required.

  • Previous experience in hotel group coordination, events, sales support, or hospitality operations preferred. Hilton brand experience preferred.

  • Excellent verbal, written, and interpersonal communication skills.

  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.

  • Proficiency in Hilton systems, including OnQ, R&I, Delphi, and Salesforce (FDC), preferred.

  • Working knowledge of Microsoft Office Suite.

  • This position may require evenings, weekends, and holidays based on group and hotel operational needs.
