The Accounting Admin is responsible for processing and applying a high volume of customer payments while maintaining accurate financial records. This role requires exceptional attention to detail, strong organizational skills, and the ability to work efficiently in a fast-paced environment. The Accounting Clerk ensures that all check, ACH, and credit card payments are accurately posted to the company's accounting and business software systems. This position supports multiple operating companies, each with its own bank account, requiring careful attention to proper payment allocation and reconciliation across multiple entities.

Key Responsibilities
  • Process and accurately apply a high volume of customer check payments to the appropriate accounting system and operating company.
  • Post and reconcile ACH (Automated Clearing House) and credit card payments received from customers.
  • Manage payment processing and cash application across multiple operating companies, each maintaining its own bank account.
  • Ensure payments are accurately applied to the correct customer account, operating company, and bank account.
  • Reconcile daily cash receipts, deposits, and payment batches for each operating company.
  • Research and resolve payment discrepancies, unapplied cash, and customer account issues.
  • Maintain accurate customer account records and supporting documentation.
  • Assist with month-end closing activities, including account reconciliations for multiple operating companies.
  • Communicate with customers, banking partners, and internal departments regarding payment inquiries and discrepancies.
  • Prepare documentation to support audits and maintain compliance with company accounting policies and internal controls.
  • Perform other accounting and administrative duties as assigned.
Physical Requirements
  • Ability to sit for extended periods while working on a computer.
  • Frequent keyboarding and data entry.
  • Occasionally lift or move files and office materials up to 20 pounds.

A successful Accounting Clerk consistently processes a large volume of customer payments with a high degree of accuracy, ensures payments are applied promptly, resolves discrepancies efficiently, and contributes to maintaining accurate financial records while supporting the overall account's receivable function while effectively managing payment activity across multiple operating companies.

Education & Experience
  • High school diploma or GED required.
  • Associate degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Two or more years of accounting, accounts receivable, cash application, or bookkeeping experience preferred.
  • Experience processing high-volume check, ACH, and credit card payments is strongly preferred.
  • Experience working with accounting or ERP software and Microsoft Excel required.
  • Experience supporting multiple operating companies is a plus.
