Position Title: Finance Assistant Trainee

Location: Nelson Mazda Murfreesboro

Position Overview: ย We are looking for a driven and detail-oriented Finance Assistant Trainee to become an integral part of our team. This role demands exceptional attention to detail and the ability to thrive in a fast-paced environment with multiple dynamic priorities. The Finance Assistant Trainee plays a critical role in ensuring the efficient execution of financial processes, deal structuring, and delivering outstanding customer satisfaction for both New Mazda and Pre-Owned Vehicle transactions.

The ideal candidate will demonstrate a commitment to accuracy, promote effective cross-departmental collaboration, and contribute to creating an exceptional experience for both customers and employees.

Key Performance Indicators (NPI):

  • Ensure each deal is 100% complete with all signed documentation, lender stipulations met, and all money collected.

  • Ensure that each deal is completed within a specific given time frame to ensure guest satisfaction.

  • Ensure tag related documentation is complete and correct at the time of sale

  • Maintain a Sales Sales Satisfactionย Score above 93%

  • Achieve 95%+ Connected Services penetration

  • Submit all deals to the office with full completion and accuracy

Primary Responsibilities:

  • Verify all sales for correct emails, addresses, rebates, and RDR types

  • Gain proficiency in finance systems (Dealertrack, DT DMS, etc.) and contract types (Purchase, Lease, Business, E-Contracting)

  • Rehash rates, deal structures, and product purchases with bank representatives

  • Ensure all deal documents meet checklist requirements and data accuracy

  • Collaborate effectively with sales and accounting teams

  • Follow up with bank funding departments to finalize contracts in transit

  • Submit deal structures and credit applications to lenders for approval

  • Minimize delays in accounting with complete and accurate paperwork

  • Expedite customer wait times by promptly submitting necessary terms

  • Maintain up-to-date knowledge of lender policies and maximums

  • Greet customers promptly and professionally

  • Process down payments via cash, check, or credit and ensure proper receipt

  • Complete month-end close processes, ensuring all deals are submitted to accounting by the second business day at noon

  • Work with Client Advisors to collect all required stipulations for non-funded deals

  • Maintain adequate supplies of necessary hard copy documents

  • Scan all deal documents into the DMS system

  • Verify all deal jacket documents required for funding are present before submission to accounting

  • Ensure accurate information for obtaining customer plates without delays

  • Facilitate customer request cancellations by completing appropriate documentation

  • Conduct A2Z menu presentations to maximize ancillary product offerings
