Job description

Job Title: Operations Coordinator, Business Administration - Camp Wartburg
Exempt/Non-exempt: Exempt
Immediate Supervisor: Camp Operations Director
Salary Range: $48,000 - $52,000

Essential Functions:
  1. Primarily responsible for overseeing day to day business transactions of camp by accurately processing accounts receivable and accounts payable in a timely manner, ensuring invoices are submitted within 5 business days, preparing deposits, reconciling financial transactions and other tasks related to daily camp business operations.
  2. Exercises independent discretion and judgement in completion of duties and adherence to all policies. Supports and models the mission and values of Camp Wartburg and the Zero Tolerance of Abuse and Maltreatment of Children and ensuring a Safety First leadership at all times.
  3. Monitor monthly expense and revenue lines, track approved capital improvement budget lines, and communicate irregularities to the Camp Director and LCFS financial staff. Submit monthly financial summaries and capital budget summaries to the Director. Monitor capital expenditure variance against approved plans and inform appropriate Directors of any irregularities.
  4. Collaborate with the Maintenance Coordinator to align project purchases with approved budgets, process capital invoices, and ensure accurate coding. Ensure execution aligns with Director-approved plans.
  5. Coordinate Human Resources and file management with the HR Department, ensuring all background checks are cleared before employee or volunteer access to camp facilities and campers or other consumers. Maintain employee files, attendance records, and required training documentation accurately.
  6. Actively recruit, hire, train, supervise, develop, and evaluate assigned staff in accordance with LCFS leadership standards. Conduct regular supervision meetings with direct reports and foster a positive, inclusive, and mission-driven work environment for staff, interns, and volunteers.
  7. Support all camp operations by collaborating with Camp departments and LCFS departments regularly, and positively communicate with campers, volunteers, vendors, and other stakeholders.
  8. Maintain confidentiality of staff and camper information, adhere to all Camp and agency policies, and comply with the Zero Tolerance for Child Abuse and Mistreatment policy ensuring a Safety First position at all times.
  9. Maintain shared drive filing structures and the general camp calendar in coordination with the Director. Oversee administrative compliance documentation and provide timely responses while ensuring record security and confidentiality.
  10. Monitor and operate within the approved fiscal year budget. Participate in monthly financial review meetings, prepare quarterly financial analysis summaries for Director review, support grant documentation, and assist with financial components of fundraising events.
  11. . Adhere to all policies and procedures related to boundaries with consumers and managing high-risk activities and supervising consumers, maintain appropriate relationships with consumers, attend all required training related to such and promptly report suspicious or inappropriate behaviors and policy violations by employees, volunteers, interns and consumers to the Director and the HR Department.
  12. Perform other duties as assigned.
Background and Driving Requirements:
Employment is contingent upon successful completion of all required background checks, including but not limited to criminal background checks and CANTS (Child Abuse and Neglect Tracking System) checks, as required by law and agency policy. Candidates must also possess a reliable vehicle and have a valid driver’s license and must not have had a suspended or revoked driver’s license within the past three years.

Education and Experience:
High School Diploma required. Associate or Bachelor’s degree in Business Administration, Accounting, or a related field preferred. Experience in bookkeeping, financial administration, or nonprofit operations preferred. Experience supervising administrative staff and managing financial reporting and budgets is highly desirable. Valid driver’s license required.
Physical Demands and Other Requirements:
To perform this job successfully, an individual must be able to perform the essential duties listed in the job description satisfactorily. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit. The employee is occasionally required to stand; walk; use hands to finger, handle or feel objects, or controls; reach with hands and arms. Capable of operating standard office equipment, including a computer and keyboard, calculator, typical business machines such as a fax machine and copier. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision and the ability to adjust focus. The employee is required to have valid driver’s license, auto insurance and must be able to safely operate a motor vehicle. The work environment characteristics include a noise level which is usually low to moderate.

Notifies, in a timely manner, the supervisory chain of any incidents or circumstances that need attention. Report all suspicions or allegations of abuse immediately to their supervisor. Ensures appropriate utilization of materials and resources and minimizes waste.
