Accounting and Payroll Specialist

Bay Breeze Heating & Cooling is a growing, customer-focused HVAC company serving the Davidsonville area. We are seeking a detail-oriented Accounting and Payroll Specialist to join our team. This position plays a key role in ensuring accurate financial records, timely payroll processing, and the day-to-day accounting operations that support our continued growth.

Position Summary

The Accounting and Payroll Specialist is responsible for maintaining financial records, processing payroll, supporting accounts payable and receivable functions, preparing financial reports, and assisting with month-end and year-end accounting activities. This role works closely with management to ensure financial accuracy while maintaining internal controls and company policies.

Key Responsibilities

  • Process weekly and/or bi-weekly payroll, including payroll deductions, commissions, and 401(k) contributions.
  • Prepare daily bank deposits, including electronic, credit card, and physical check deposits.
  • Apply customer payments and maintain accurate accounts receivable records.
  • Assist with collections and customer account follow-up.
  • Process customer financing and credit card transactions.
  • Prepare invoices for residential new construction projects and time-and-material work.
  • Maintain job files, billing records, and change orders.
  • Process accounts payable and vendor payments while maintaining positive vendor relationships.
  • Reconcile bank accounts, balance sheet accounts, and general ledger accounts.
  • Prepare month-end financial reports, including service department profit and loss reporting.
  • Record monthly and annual journal entries as needed.
  • Maintain job costing information and update work-in-progress reports.
  • Prepare and file state and sales tax reports.
  • Maintain W-9 documentation and vendor records.
  • Assist with internal and external audits.
  • Prepare daily, weekly, and monthly financial reports for management.
  • Perform other accounting and administrative duties as assigned.

Schedule

Monday - Friday 8:00 AM - 4:00 PM One-hour lunch break

Qualifications

  • Associate's or Bachelor's Degree in Accounting or related field preferred.
  • Minimum of 5 years of accounting, bookkeeping, or payroll experience.
  • Experience processing payroll, including deductions, commissions, and retirement contributions.
  • Strong Accounts Payable and Accounts Receivable experience.
  • Experience with invoicing, billing, and collections.
  • Financial reporting and month-end closing experience.
  • General ledger reconciliation and journal entry experience.
  • Budgeting, forecasting, and job costing experience.
  • Proficiency with QuickBooks.
  • Advanced Microsoft Office skills, particularly Excel.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple tasks while maintaining accuracy.
  • Ability to work independently with minimal supervision.
  • Exceptional customer service and professionalism.
  • Previous experience in the HVAC, construction, home services, or contracting industry is strongly preferred.
  • Supervisory experience is a plus.
  • Must successfully pass a background check and drug screening.
