Position Summary
The Part-Time Accounting Associate provides administrative and entry-level accounting support to the Accounting team by assisting with financial transactions, account reconciliations, documentation, and routine accounting activities. This role supports daily and month-end accounting processes, helps maintain accurate financial records, and contributes to the timely completion of departmental priorities. Working under the guidance of Accounting leadership, the Part-Time Accounting Associate ensures accuracy, organization, and compliance with established accounting policies and procedures.
Principle Duties and Responsibilities

  • Supports daily and month-end balance sheet reconciliation activities by reviewing assigned general ledger accounts, validating account balances, and identifying items requiring follow-up.
  • Reviews account activity, transaction history, teller totals, system reports, and supporting documentation to ensure prior-day activity has cleared or is appropriately documented.
  • Researches variances, outages, and exception items using available reports and accounting systems, and escalates unresolved issues to the appropriate Accounting team member or business partner.
  • Maintains organized reconciliation files, schedules, reports, and supporting documentation in accordance with departmental procedures and record retention requirements.
  • Assists with internal and external audits by gathering supporting documentation, preparing requested information, and responding to follow-up requests as directed.
  • Prepares and posts routine journal entries with appropriate supporting documentation and in accordance with established review and approval procedures.
  • Communicates and collaborates with Accounting team members and business partners to resolve inquiries, obtain necessary information, and support the timely completion of assigned responsibilities.
  • Assists with other accounting, reconciliation, and administrative duties as assigned to support departmental objectives and operational needs.
  • Performs other related duties as assigned.

Knowledge, Skills, and Abilities (KSA)
  • Knowledge of Wellby's organizational functions, and general operating policies and procedures.
  • Knowledge of general office practices and procedures, business English, spelling, and punctuation.
  • Knowledge of personal computers, utilizing Microsoft Office Suite and other software.
  • Knowledge of basic accounting principles, general ledger structure, and financial recordkeeping practices.
  • Knowledge of account reconciliation processes and the purpose of balance sheet account maintenance.
  • Skilled in operating computer equipment and general office machines such as personal computers, copiers, projection equipment, audio/video, Microsoft Teams, Zoom Video Communications, and adding devices.
  • Skilled in organizational skills, maintaining accurate records, and managing multiple assignments simultaneously.
  • Ability to review account activity, validate balances, and identify items requiring follow-up with a high degree of accuracy.
  • Ability to research variances, exception items, and reconciliation discrepancies and escalate issues appropriately.
  • Ability to maintain organized files, reports, schedules, and supporting documentation in accordance with established procedures.
  • Ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • Ability to work in a fast-paced team environment with exceptional member service skills.
  • Ability to communicate clearly and concisely, orally and in writing.

Supervisory Responsibilities
  • The team member does not have supervisory responsibilities.

Minimum Qualifications
  • High school diploma or equivalent required; associate degree or coursework toward a degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Basic knowledge of accounting principles and financial recordkeeping; relevant coursework, internships, or prior clerical/accounting experience preferred.
  • Proficient in Microsoft Office Suite, particularly Excel; experience with accounting software or financial systems is a plus.
  • Strong attention to detail, organization, and willingness to learn.
  • Position requires a regular part-time work schedule of up to 30 hours per week.
