JOB TITLE: Assistant to the CFO

POSITION STATUS: Full Time, Exempt. 40 hours per week,

Monday through Friday. 8am 5pm.

PAY: $20 to $30 DOE

GENERAL SUMMARY: Responsible for providing a range of administrative support and coordination of projects for the Chief Accountant and the Departments of Accounting, Accounts Payable, Accounts Receivable, Payroll. Responsible for maintaining high standards of professionalism, efficiency personal communications discretion and independent judgment. Work with internal and external contacts, deals with a wide range of high sensitive issues under tight deadlines and pressures.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Use good judgment in identifying issues to assist staff with questions regarding policies and produces and /or directs the issues to management, or appropriate employee.
  • Maintain permanent records in compliance with the retention policy and according to the practices established by the Chief Accountant.
  • Administrates the corporate credit card including issuing, cancelling, balancing the statements according to policy
  • Assist the Chief Accountant in coordinating departmental daily activities as well as annual audits to ensure commitments and dealings are met.
  • Handles payroll process and distribution of paychecks in the absence of the Chief Accountant.
  • Assist in entering journal entries, setting up and releasing bank transfers, uploading and distributing bank statements and reconciling bank accounts and credit card statements.
  • Checks A/P batches for accuracy prior to submitting checks for signature. Audits all A/P invoices/checks and expenses, reimbursements/purchases, to ensure policies are followed.
  • Assist in the organization, updates and maintenance of documents to ensure policy and practices are followed.
  • Assist with reconcile, processes, reviews, maintains, and submits as require the following: invoices, check requests, purchase orders, contracts and expense reports.
  • Performs standard office tasks such as answering telephones, filing, ordering supplies, postmark mail etc.
  • Maintains Accounts Payable email box and correspondence.
  • Backup support to classifieds, obituaries and legal notices.

KNOWLEDGE, SKILLS & ABILITIES:

  • Two or more years of experience in office procedures, data compilation and record maintenance.
  • Must have the ability to observe and maintain a high degree of confidentiality and professionalism.
  • Must be proficient, detailed-oriented and accurate to assist in running a smooth office environment.
  • Must be able to communicate effectively and to interface with all levels of company personnel and variety of personalities in a professional manner.
  • Requires a functional knowledge of company operations and procedures to accurately interpret documents/instructions to address properly and promptly
  • Advanced computer skills including the use of word processing spreadsheet, email and account/finance programs desirable
  • Excellent oral and written communication

PHYSICAL REQUIREMENTS:

  • Must be able to sit or stand for long periods of time while working at a computer and /or writing.
