About this Role

Responsible for project financial administration across the project lifecycle, including project setup, billing, revenue support, WIP and backlog management, and accounts receivable coordination. Works within Deltek Vantagepoint and partners with Project Managers, Business Development, Legal/Contracting, and Finance to ensure compliance with Consertus' Project Lifecycle Management SOP and ASC 606. As a Senior Project Accountant, also drives process improvement, provides advanced reporting/analysis, and mentors junior project accountants.

Key Responsibilities:

  • Project lifecycle & systems
  • Support end-to-end project lifecycle management from opportunity initiation in Salesforce through delivery and closeout in Deltek Vantagepoint.
  • Partner with Business Development, Business Unit Leadership, Project Managers, Legal/Contracting and Finance to ensure projects are set up and managed in accordance with the Project Lifecycle Management SOP.
  • Project setup & compliance
  • Review executed contracts, NTPs, and pre-contract work authorizations; establish WBS, billing terms, contract values, and project status (Approved for Use / timekeeping-only) per policy.
  • Ensure billing tables/rate tables are created/linked and that billing terms in Vantagepoint align to the contract; update setup within required timelines when contracts are executed/updated.
  • Process and maintain change orders/supplements promptly; update WBS, billing terms, and contract values per notifications from Salesforce/Ironclad.
  • Billing, WIP & revenue
  • Manage monthly billing cycle aligned to month-end cut-off; prepare draft invoices and route for PM review/approval within required timeframes.
  • Monitor unbilled WIP and aged WIP; document reasons projects cannot be billed; escalate per policy when WIP exceeds thresholds or two months. Coordinate month-end revenue activities with Project Managers to ensure accurate revenue recognition.
  • Ensure write-offs, credit memos, and adjustments comply with approval matrix and corporate policy.
  • Accounts receivable
  • Support weekly AR review cadence; monitor aging and execute escalation protocol (60+/85+/120+ days) with PMs and leadership.
  • Resolve cash receipt discrepancies and coordinate with Cash Applications/AR as needed.
  • Reporting & closeout
  • Execute close-out checklist upon PM notification of completion; follow up on inactivity (90 days) and support proper project closure in systems.
  • Provide Unbilled report at month-end with explanations to be consolidated and reported to the CFO.
  • Audit & reporting Handles client compliance requests.
  • Assist with month end close & year end close as needed.
  • Leadership and Operational Support
  • Work with Project Accounting management to implement new procedures to improve overall project accounting operations.
  • Provide assistance to project managers and operation unit management to support improved understanding of project financial data. Provide training, mentoring and coaching to project accountants (that may not report to them directly).
  • Handles escalations with PM leadership and PA leadership.
  • Lead Project Accountant (Lead PA) - Additional Responsibilities
  • Manage staff, including oversight of workload prioritization, coaching, and performance support.
  • Responsible for mentoring and career development of direct reports including performance review and goal planning.
  • Schedule/attend meetings with PAs to review status of project budgets and review AR & WIP.

Qualifications:

  • Bachelor's degree preferred in Accounting, Finance, Business, or related field (or equivalent experience).
  • 8+ years of project accounting experience in a services/consulting environment; experience with Deltek Vantagepoint (or Vision) preferred.
  • Strong understanding of contract types (T&M, Fixed Fee, NTE, unit-based) and billing terms; familiarity with ASC 606 concepts for service revenue preferred.
  • Demonstrated ability to lead process improvement, provide training, and mentor junior staff.
  • Strong attention to detail, ability to manage month-end deadlines, and ability to communicate effectively with PMs and non-finance stakeholders.
  • Proficiency in Excel; ability to analyze WIP, backlog, margin, and AR aging.
