Job description

Accounts Receivable Clerk

Location: Santa Rosa, CA
Department: Finance
Classification: Non-Exempt
Schedule: Full-time, Monday through Friday, on-site
Hours: Approximately 8:00 a.m.–5:00 p.m. or 8:30 a.m.–5:00 p.m.

Position Summary

A well-established global manufacturing company in Sonoma County is seeking a dependable and detail-oriented Accounts Receivable Clerk to join its Finance team.

The Accounts Receivable Clerk will be responsible for daily invoicing, processing customer payments, maintaining accurate accounts receivable records, and supporting month-end accounting activities. This position is ideal for someone with at least two years of accounting experience who is organized, accurate, reliable, and comfortable working in a fast-paced office environment.

Because a significant portion of the company’s invoicing is completed in the afternoon, candidates must be available to work until approximately 5:00 p.m.

Duties and Responsibilities

  • Perform daily customer invoicing.
  • Complete website invoicing and update customer portals with billing information.
  • Prepare daily check deposits and verify deposits against supporting documentation.
  • Apply checks received to the appropriate customer accounts.
  • Process ACH and electronic funds transfer payments daily.
  • Process customer credit card payments in accordance with established terms and procedures.
  • Reconcile the accounts receivable ledger regularly.
  • Research and resolve payment, billing, and invoice discrepancies.
  • Perform month-end invoicing and cash-related duties.
  • Enter intercompany and vendor invoices as assigned.
  • Support and provide backup assistance for credit and collections functions.
  • Assist with cycle count processes.
  • Maintain organized digital and physical financial records.
  • Communicate professionally with customers and internal departments.
  • Perform other accounting and administrative duties as assigned.

Qualifications

  • High school diploma or GED required.
  • Associate degree in Accounting or a related field preferred.
  • At least two years of accounting or accounts receivable experience.
  • Good understanding of double-entry accounting principles, procedures, and requirements.
  • Experience with invoicing, cash application, payment processing, and account reconciliation.
  • Accurate data-entry and 10-key skills.
  • Strong attention to detail, organization, and time-management abilities.
  • Strong interpersonal and communication skills.
  • Ability to troubleshoot discrepancies and solve problems.
  • Working knowledge of Microsoft Office products.
  • Dependable and committed to maintaining consistent attendance.
