Job description

The Accounts Receivable Specialist is responsible for the accurate and timely management of customer invoicing, payment processing, account reconciliations, collections, and accounts receivable records. This position helps ensure the integrity of the Company's financial records by maintaining accurate customer account information, resolving billing discrepancies, and supporting month-end accounting activities. The Accounts Receivable Specialist works collaboratively with internal departments and customers while maintaining a high level of professionalism, confidentiality, and attention to detail in a fast-paced, deadline-driven environment.


Essential Duties & Responsibilities

  • Generate and process customer invoices accurately and timely
  • Post customer payments (checks, ACH, wire transfers, credit cards)
  • Reconcile customer accounts and resolve discrepancies
  • Monitor aging reports and follow up on outstanding balances
  • Communicate professionally with customers regarding billing issues
  • Coordinate with sales and operations teams to verify pricing, credits, and deductions
  • Process adjustments, credit memos, and claims
  • Assist with month-end closing related to A/R
  • Maintain organized customer files and documentation
  • Support audit requests and financial reporting needs
  • Ensure compliance with company policies and accounting standards


Qualifications & Experience

  • Associate’s degree in Accounting, Finance, or related field preferred
  • 2+ years of accounts receivable experience (produce or agriculture industry preferred)
  • Knowledge of produce billing, freight, and deductions is a plus
  • Strong understanding of accounting principles
  • Experience with accounting software (QuickBooks, Famous, or ERP systems preferred)
  • Proficiency in Microsoft Excel
  • Excellent attention to detail and accuracy
  • Strong written and verbal communication skills
  • Bilingual (English/Spanish) preferred
