Job description

Position: Facility Coordinator
Location: Miamisburg, OH (manufacturing site)

Position Summary
The Facility Coordinator supports daily administrative, operational, maintenance, and facility-related functions within a manufacturing environment. This role ensures buildings, equipment, and workplace services operate efficiently, safely, and in compliance with company standards. The Facility Coordinator serves as a key link between site leadership, maintenance teams, vendors, and employees, helping to maintain productive plant operations, accurate documentation, and a safe, organized workplace.
Key Responsibilities
  • Coordinate daily office administration, facility operations, and building maintenance activities across manufacturing sites.
  • Coordinate and schedule facility maintenance requests, repairs, inspections, and preventive maintenance through a work order system or CMMS with maintenance teams, vendors, and contractors.
  • Manage and maintain relationships with office coordinators, vendors, contractors, and service providers.
  • Manage purchase orders, invoices, and maintenance supply requests.
  • Ensure compliance with safety regulations, company policies, and building codes.
  • Respond to employee facility requests, resolve workplace issues, and maintain accurate records.
  • Assist with office moves, workspace setup, and event coordination.
  • Support onboarding processes, badge access, and general manufacturing associate needs.
  • Maintain records of maintenance schedules, service contracts, and facility documentation.
  • Participate in routine facility inspections to identify operational or safety concerns.
  • Support emergency preparedness and response procedures.
Minimum Qualifications
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Previous experience in facilities management, office administration, or property coordination, preferably in manufacturing or industrial environments.
  • Strong organizational skills with the ability to manage multiple priorities and tasks.
  • Excellent communication and customer service abilities.
  • Proficiency in Microsoft Office and facility management systems (CMMS).
  • Ability to manage vendors and coordinate multiple service providers effectively.
  • Basic knowledge of building systems, maintenance procedures, and workplace safety standards.
Preferred Skills
  • Knowledge of manufacturing operations and terminology.
  • Familiarity with OSHA or workplace safety documentation.
  • Vendor coordination and purchasing experience.
  • Understanding of maintenance coordination processes.
  • Strong problem-solving and decision-making abilities.
  • Effective time management skills.
  • Ability to work both independently and collaboratively.
  • Ability to read and interpret blueprints and floor plans.
  • Experience with budget tracking and recordkeeping.

Physical Demands
Light to moderate physical activity. May require walking through manufacturing areas, climbing stairs, or standing for extended periods. Ability to access different areas of facility environments.
Work Environment
Work is primarily performed in a manufacturing setting with exposure to machinery, varying noise levels, and changing environmental conditions.
