Description

The Academic Administrative Assistant provides administrative and operational support to the Vice President of Academics and the Academic Department. This position is responsible for coordinating communications, maintaining confidential records, preparing reports and correspondence, coordinating meetings with service providers and external partners, supporting compliance activities and assisting with the day-to-day administrative operations of the department. 


ESSENTIAL FUNCTIONS

Administrative Support

  • Provide administrative support to the Vice President of Academics.
  • Coordinate scheduling and communications with service providers, contract agencies, ISDs, and other external partners.
  • Prepare, review, and distribute correspondence, reports, presentations, spreadsheets, meeting agendas and other department documents.
  • Monitor and respond to routine departmental email inquiries.
  • Coordinate document routing, approvals and distribution.

Records & Compliance

  • Maintain confidential student, personnel and departmental records.
  • Enter and update data in department databases, spreadsheets and student information systems.
  • Assist with organizing and maintaining academic documentation and required compliance records.
  • Track required documentation and timelines to support state and federal compliance requirements.

Department Support

  • Serve as the primary administrative contact for the Academic Department.
  • Support communication between school staff, families, service providers, ISDs and outside agencies.
  • Compile information and prepare reports for audits, leadership meetings and departmental needs.

General Responsibilities

  • Maintain strict confidentiality of student, employee and organizational information.
  • Build positive working relationships with staff, families, school leaders and community partners.
  • Perform other duties as assigned to support the Vice President of Academic and departmental operations.

Requirements

  • Two (2) years of administrative support experience, preferably supporting a department or senior leader.
  • Excellent organizational, written, verbal and interpersonal communication skills.
  • Proficiency in Microsoft Office Suite, Google Workspace and standard office technology.
  • Ability to prioritize multiple assignments, maintain accuracy, meet deadlines and handle confidential information with discretion.

Preferred Qualifications

  • Experience working in a K-12 educational setting.
  • Experience supporting Academic or student services departments.
  • Familiarity with Academic processes, student information systems, or compliance reporting.
