We are seeking individuals who desire to use their unique skills to innovate and make an impact.
The Manager of Academic Operations and Effectiveness provides professional-level operational, administrative, analytical, and project support to the Office of the Provost. The position serves as a key resource for coordinating the day-to-day operations and priorities of the Provost’s Office while supporting academic effectiveness, faculty information management, course evaluation processes, and institutional and programmatic accreditation activities.
The position coordinates information and activities across academic and administrative units; manages recurring academic processes; prepares reports and materials for executive decision-making; maintains accurate and confidential faculty and academic records; and supports the implementation and monitoring of initiatives within Academic Affairs.
WHAT YOU WILL BE DOING:
Job responsibilities include, but are not limited to:
Provost Office Operations and Executive Support
Provide professional-level operational and executive support to the Office of the Provost, including correspondence, reports, presentations, meeting materials, and other documents.
Manage the Provost’s calendar, meetings, appointments, and events; gather and organize information to support effective preparation and decision-making.
Serve as a central liaison between the Office of the Provost and academic and administrative units, coordinating communication, follow-up, and issue resolution: serve on University committees as assigned.
Extract, analyze, maintain, and report institutional data to support academic administration, planning, and decision-making.
Develop and maintain databases, tracking tools, dashboards, spreadsheets, and reports for the Office of the Provost and academic leadership.
Coordinate special projects and academic initiatives, including timelines, deliverables, documentation, follow-up, and issue tracking.
Maintain accurate records and documentation and identify opportunities to improve administrative, data, and project processes.
Represent the Office of the Provost professionally with faculty, staff, students, administrators, and external parties, as appropriate.
Provide support for university events and initiatives as requested by the Provost and Vice-Provost.
Perform other duties as assigned.
Academic Leadership Support
Oversee the annual Faculty Rank Advancement process, including process organization, committee coordination, applicant communications, documentation, timelines, and completion of required records.
Manage the annual review and revision of the Faculty Handbook, coordinating proposed updates, stakeholder review, approvals, document control, and communication of approved changes with the Faculty Executive Council.
Coordinate the annual faculty review of the University Mission, including distribution, collection of faculty feedback, documentation of participation and recommendations, and submission of results through the appropriate governance process.
Support the IEP Team with institutional and programmatic accreditation activities, including gathering documentation, maintaining records, coordinating requests for information, reviewing reports, and tracking accreditation-related deadlines.
Coordinate implementation of new and revised academic policies approved through the Academic Policy Committee, including updating the University Policy Library, documentation updates in T Drive, implementation timelines, and follow-up to support consistent application across academic units.
Coordinate implementation and ongoing monitoring of the Academic Strategic Plan, including tracking initiatives, milestones, responsible parties, and outcomes; facilitating regular progress updates; and preparing status reports for the Provost and academic leadership.
Course Evaluation Administration
Review and develop course evaluation and assessment tools, analyze their effectiveness, and provide recommendations for improvement to the Institutional Effectiveness and Planning (IEP) Team, program leaders, and Faculty Senate Executive Committee.
Manage the university’s course evaluation process, including maintaining evaluation schedules, launching evaluations, monitoring participation, delivering reports to academic leadership, and supporting the timely completion of evaluation cycles.
Generate and distribute course evaluation reports in accordance with university policies and established reporting practices.
Troubleshoot course evaluation issues and coordinate with the IEP Team, LMS Administrator, and system vendors as needed.
Maintain documentation and procedures for the course evaluation process and identify opportunities to improve its efficiency, accuracy, and usefulness.
Faculty Information and Credentialing
Create faculty contracts as requested by Deans, Department Chairs, Program Directors, and HR for approval signatures via Docusign.
Maintain the university’s faculty information and credentialing data within current software platform and other applicable institutional systems. Conduct routine updates to ensure information remains current and appropriately documented. Identify discrepancies or missing information and coordinate appropriate resolution.
Coordinate with the Faculty Executive Committee (FEC) to facilitate the annual collection of updated faculty CVs, ensuring documentation of new accomplishments in teaching, service, and research and maintenance of current faculty credential records.
Prepare and provide an updated faculty roster to the Office of the Provost three weeks prior to the start of each trimester and again at Week 8 of the trimester.
WHAT YOU WILL NEED:
EDUCATION/EXPERTISE:
Bachelor’s degree in higher education administration, business administration, or related field; Master’s degree preferred with five (5) years of relevant professional experience.
Experience working with databases, survey platforms, reporting systems, and/or accreditation management systems preferred.
Experience with data management, reporting, survey administration, academic administration, and accreditation.
Experience supporting executive leadership, academic affairs, institutional effectiveness, or related higher education functions preferred
Strong proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
JOB REQUIREMENT/SKILL/ETC.

Strong organizational, project management, and time-management skills with the ability to manage multiple priorities and deadlines.

Ability to maintain confidential records and information in accordance with university policies and applicable laws and regulations.
Awareness, appreciation, and understanding of the connection between evaluation of student learning and needs of programmatic and institutional accreditation.
Knowledge of higher education academic operations, assessment, institutional effectiveness, or accreditation processes preferred.
Willingness to work as a team member, assisting others with deadlines during heavy traffic periods, and to maintain a professional work ethic.
PHYSICAL REQUIREMENTS:
Visual acuity to use a keyboard and view a computer terminal. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp.
May require ordinary ambulatory skills sufficient to visit other locations or the ability to stand and walk.
Ability to occasionally lift, carry and/or move light to medium weight up to twelve (12) pounds and/or exert up to twelve (12) pounds of force.
