Office Manager — Hydraulics Repair Shop

AC Hydraulics — Daytona Beach, FL Full-Time | On-Site

About Us

AC Hydraulics is a hydraulics repair shop looking for an organized, detail-driven Office Manager to keep our back office running as smoothly as our shop floor.

About the Role

We need an Office Manager who can own the day-to-day administrative and financial operations of a busy hydraulics repair shop — someone comfortable juggling customer service, invoicing, and bookkeeping in a fast-paced, hands-on environment. You'll be the hub connecting our technicians, customers, and vendors.

What You'll Do

  • Maintain accurate, up-to-date books in QuickBooks, including invoicing, accounts receivable/payable, reconciliations, and basic financial reporting
  • Process repair orders, generate customer invoices, and follow up on outstanding balances
  • Answer phones, greet customers, and manage scheduling/check-in for repair jobs
  • Support payroll processing and maintain employee records
  • Order parts and shop supplies; track vendor invoices and manage purchase orders
  • Maintain organized filing systems for compliance, warranty, and service documentation
  • Assist ownership with reporting on shop performance
  • Handle general office duties: correspondence, mail, supplies, and vendor relationships

What We're Looking For

  • Proven QuickBooks experience (required) comfortable with invoicing, reconciliation, and basic reporting
  • Prior office management, bookkeeping, or administrative experience, ideally in an automotive, industrial, or hydraulics repair setting
  • Strong organizational skills and attention to detail
  • Excellent communication skills — comfortable talking with customers, vendors, and technicians alike
  • Ability to multitask and stay calm under pressure in a busy shop environment
  • Basic understanding of repair order workflows a plus (or willingness to learn quickly)
  • Proficiency with Microsoft Office / Google Workspace

 

Nice to Have

  • Experience in the hydraulics, industrial equipment, or heavy equipment repair industry
  • Familiarity with shop management software
  • Prior experience supporting payroll or AR/AP processes
