Position Overview


The primary responsibility of the Coordinator, A&R Administration is entering recording services vendor invoice data into the company finance system for the Blue Highway Records A&R Administration department. This is a hybrid/remote position, requiring the coordinator to attend some company meetings and all-staff events in person. Attention to detail is crucial in this role, as there are multiple points of data entry for each Purchase Requisition (PR) created and invoice uploaded.


This is a full-time, hybrid role based in our Nashville office. Office hours 9am โ€“ 6pm, Central Standard Time


Key Responsibilities


Invoice & Vendor Administration


โ€ข Communicate with vendors regarding account set-up, including musician (AFM) and vocalist (SAGAFTRA) union participants, studios, engineers, cartage, equipment rental, and catering companies.

โ€ข Obtain vendor W-9 and ACH direct deposit forms, proof for accuracy, and forward to the finance department for account set-up.

โ€ข Act as the first level of invoice data entry for Purchase Requisition numbers (PRs) sent to the Senior Director, A&R Administration, for approval.

โ€ข Upload corresponding invoices using PO data stored during the PR/PO process once PRs are approved and generate Purchase Order numbers (POs).

โ€ข Support tracking as finance routes further invoice approvals, working toward posting payments to vendor accounts.

โ€ข Communicate directly with vendors regarding the payment status of invoices.


Union Compliance & Reporting


โ€ข Conduct weekly reporting of union payments to AFM and SAG-AFTRA.

โ€ข Assist the Senior Manager, A&R Administration, with the union reconciliation procedure to ensure union compliance for all company owned audio recordings and select video assets.


Cross-Team Collaboration & Tracking


โ€ข Participate in weekly A&R Administration department meetings with 4 department co-workers. โ€ข Gather recording status information from producers, production coordinators, A&R, and A&R Administration staff to maintain the Recording Calendar posted on the internal company website.


Qualifications


โ€ข Education: Bachelorโ€™s degree in Accounting, Business Administration, or related field.

โ€ข Experience: Minimum 2 years of Accounts Payable experience.

โ€ข Highly organized with strong attention to detail and ability to manage multiple points of data entry.
