Job description

This position is responsible various accounting tasks and clerical assistance where needed. Duties such as bank account reconciliations, credit card/debit card transaction entry, card/debit card and cash account reconciliations and preparation of daily deposits. Position will be responsible for some Accounts Payable and Accounts Receivable management. Position works closely with the Senior Accountant and Home Owners Association Manager to administer accounting services provided to associations.
Key Responsibilities
1. Collaborate Senior Accountant and HOA Managers to manage HOA A/R, Cash Balances and Cash Flows.
2. Manage all HOA A/P preparing recommendations of invoices to be paid and submit for approval.
3. Responsible for making required monthly journal entries for accurate month end financial statements.
4. Collectively work with HOA managers to manage dues revenue and expenses according to approved budgets.
5. Process and account for all HOA credit card and or debit card transactions.
6. Generate and distribute all monthly dues invoicing and owner association member statements.
7. Correspond with owners of managed associations regarding billing/statement questions.
8. Prepare daily deposits for HOA bank accounts.
9. Advise HOA managers and Senior Accountant of overdue owner A/R accounts.
10. Maintain "paper trail" to document and detail correspondence with all owners and board members.
11. Assist in recording minutes of annual owners meetings and or meetings of the board as needed.
12. Review all vendor invoices for discrepancies with budgeted figures and call HOA Managers and Senior Accountant's attention to such variances.
13. Execute monthly account reconciliations for all HOA accounts.
14. Prepare preliminary HOA financial statements providing explanations of significant budget variances.
15. Assist in generation and distribution of annual 1099 forms and other IRS information forms as needed.
16. Enter all Resorts West credit card/debit card account transactions and reconcile accounts.
17. Enforce proper coding, collection and substantiation of the card-holder charges per information provided by card-holder
18. Hold card holders accountable to transactions on their accounts
19. Responsible for A/P entry for Resorts West Property Management operations.
20. Other duties as assigned.

He or she will possess the personal skills necessary to represent the company in a professional manner whenever interfacing with guests, owners and industry peers. Excellent typing and computer skills are required which will allow him or her to efficiently communicate with customers, fellow employees and industry peers. An ability to process a large amount of transactions efficiently without errors is essential. Computer skills should include advanced knowledge in Quick Books, Microsoft Word, Excel and Outlook . He or she will possess a history of work experience in the accounting field, basic knowledge of GAAP principles and financial reports.
