About Us
We are a growing property management firm overseeing residential and HOA communities throughout the Boston area. We are seeking a hands-on Assistant Property Manager focused primarily on maintenance coordination, field operations, inspections, vendor oversight, and HOA support.
This role is ideal for someone who enjoys being in the field, solving problems quickly, coordinating vendors, and ensuring properties and communities are maintained at a high standard.
Key Responsibilities
Maintenance Coordination
  • Oversee daily maintenance tasks and inspections across the property and HOA portfolio.
  • Coordinate repairs with vendors, schedule contractors, and ensure work orders are completed promptly.
  • Monitor open maintenance issues and follow through until resolution.
  • Conduct routine property inspections to identify maintenance, safety, or repair needs.
  • Assist with preventative maintenance scheduling and follow-up.

HOA Operations Support
  • Support HOA-related property operations, maintenance coordination, and community inspections.
  • Assist with common area maintenance tracking and vendor coordination for HOA communities.
  • Help ensure HOA rules, standards, and property appearance expectations are maintained.
  • Coordinate with HOA vendors, board members, and internal teams as needed.
  • Experience working with HOA communities, condo associations, or multifamily portfolios is highly preferred.

Field Operations
  • Perform daily site visits to assess property conditions and ensure buildings are properly maintained.
  • Complete annual unit and common area inspections.
  • Capture 3D virtual tours of units and common areas.
  • Document property conditions with photos, notes, and inspection reports.
  • Assist with vendor access and project oversight in the field.

Emergency On-Call Rotation
  • Participate in an on-call emergency rotation to respond to after-hours maintenance emergencies and urgent property issues.

Communication & Software
  • Utilize Buildium, Property Meld, and Asana for task management, maintenance coordination, and reporting.
  • Communicate with team members, vendors, residents, and HOA contacts using Slack and WhatsApp.
  • Maintain organized records of maintenance requests, inspections, vendor updates, and completed work.

Qualifications
  • Previous experience in property management, HOA management, maintenance coordination, or field operations required.
  • HOA experience is strongly preferred.
  • Knowledge of basic building systems, maintenance procedures, and safety standards.
  • Strong organizational and communication skills.
  • Ability to multitask and manage multiple properties, vendors, and priorities.
  • Comfortable using property management and communication software platforms.
  • Valid driver's license and reliable transportation required.
  • Experience with Buildium, Property Meld, AppFolio, or similar property management systems is a plus.
