Program Assistant

U.M. FDSP Associates is a non-profit affiliate of the University of Maryland School of Dentistry. U.M. FDSP Associates is the organization that provides patient care focused staffing for the clinic operations so that faculty and students may provide patient care to the general public.

The Program Assistant provides multi-task clerical support for dental clinic operations. The person in this position will schedule and confirm appointments and work directly with patients, residents, pre-doctoral students, and staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Responsible for telephone coverage of the front desk, taking and distributing messages, and answering all callers' questions.

2. Review, log and track dental lab cases

3. Manages schedules for faculty, students and residents

4. Assist patients on grant and enroll in eligible grants

5. Keep front desk clean and organized

6. Manage hygiene recall system

7. Keep schedule productive for all providers

8. Transfers calls appropriately and use the electronic dental records to update patients' arrival status throughout the visit.

9. Performs Cashier responsibilities such as providing receipts of payments, reconcile all cash/checks/credit card receipts from the clinic at close of business day for deposit.

10. Send new patient welcome emails

11. Register and verify patient's insurance. Check if patient is eligible/active member of Maryland Healthy Smiles.

12. Provides excellent customer service to patients arriving for appointments. Contacts faculty, students, and staff to inform them of patient arrival.

13. Schedules appointments to accommodate patients; resolves scheduling conflicts and fits in emergency appointments. Confirms appointments with patients for the next business day.

14. Verifies contact information and that insurance or medical assistance are still in force. Gets insurance pre-authorization of coverage. Informs patient of today's charges and any previous balance due before any service is rendered.

15. Requests payment for any procedures in accordance with the University of Maryland Dental School's policies and procedures guidelines. Responds to inquiries about patient's accounts. Requests payment when account is delinquent; may assist Patient Account Specialist to correct errors when necessary.

16. Handles day-to-day payment transactions makes changes; receives checks; processes credit card transactions; issues receipts; validates parking.

17. Processes and reconciles daily receipt with AxiUM daily ledger and deposit receipts into the night deposit box.

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED); 1 - 3 years' related experience. Related education may be substituted for experience on a year for year basis.

Required Knowledge / Skills / Abilities:

Knowledge of standard office procedures; must be able to operate computers and other office machines, such as faxes, calculator, answering telephones, as well greeting visitors and so on. Skill in filing documents according to alphabetic and numeric sequences; in operating manual and automated office equipment; Ability to apply close attention to detail in performing routine clerical tasks. Ability to follow oral and written instructions. Ability to maintain effective work relationships.
