Job description

Job Title: Vendor Management Senior Specialist
Your Role
The Senior Specialist, Vendor Management manages the end-to-end lifecycle of third-party vendors supporting facility operations, building systems, and maintenance services. This includes procurement, onboarding, contract administration, budget oversight, invoice reconciliation, and performance management for vendors providing services such as preventive and corrective maintenance, building infrastructure support, and facility-related operations.
This role partners with internal stakeholders to identify facility and maintenance service needs, lead sourcing and contract negotiations, ensure compliance with safety and regulatory requirements, and drive cost savings, service reliability, and operational efficiency across distribution center and building environments.
Your Impact
• Manage the full vendor lifecycle, including contract negotiation, execution, renewal, and termination for cause.
• Oversee vendor onboarding and due diligence processes to ensure compliance with company standards and policies.
• Manage an annual vendor services budget, including forecasting, monitoring spend, and controlling costs.
• Ensure accurate billing, invoice reconciliation, and timely vendor disbursements in collaboration with Finance.
• Collaborate cross-functionally with internal stakeholders to align vendor services with operational goals and project needs.
• Identify operational needs requiring new or expanded service contracts and lead the development of associated contract requirements and procurement activities.
• Oversee contracted ongoing operational support services to ensure service quality and regulatory compliance.
• Maintain comprehensive records of vendor agreements, service history, performance metrics, and compliance documentation.
• Develop scopes of work, solicit bids, and manage service contracts for ongoing operational needs, including facilities and maintenance services.
• Maintain strong vendor relationships and serve as the primary point of contact for contract and service-related matters.
• Identify opportunities for cost savings, service improvements, and operational efficiencies.

Your Experience
• Minimum of five years of experience in maintenance operations, facilities management, or third-party service/vendor management
• Experience managing outsourced maintenance services in a distribution center, manufacturing, or similar operational environment
• Strong organizational skills with the ability to prioritize and respond effectively in time sensitive operational environments
• Demonstrated experience managing vendor contracts, service providers, and operational budgets.
• Working knowledge of facility systems including life safety, electrical, mechanical, plumbing, and power generation systems
• Proficiency with Microsoft Office applications and familiarity with Computerized Maintenance Management Systems (CMMS)
• Effective communication skills, including the ability to present recommendations, resolve issues, and influence decision-making.
