Job Description:
Project Manager / Owner's Representative
Onsite, Columbus OH
Key Responsibilities:
1. Project Intake, Definition & Planning:
- Meet with owner and stakeholders to develop project scope and specifications.
- Develop ROM cost and preliminary schedule.
- Provide detailed contracts and proposals.
- Establish preliminary project budget including all cost categories.
- Facilitate business approvals and advance projects in internal systems.
2. Design & Engineering Oversight:
- Support initial design conceptualization.
- Oversee engineering/design firms to maintain quality and timelines.
- Coordinate with design and operations teams to determine project scope.
- Ensure permitting and authority approvals.
- Coordinate constructability reviews and resolve design issues.
- Manage value engineering efforts and stakeholder sign-offs.
3. Procurement & Contract Management:
- Manage project funding.
- Prepare RFPs and SOWs for vendor bids.
- Support bid analysis and recommendations.
- Support contract negotiations including commercial terms.
- Coordinate owner-direct vendors and consultants.
- Establish close-out documentation requirements.
4. Project Coordination & Communication:
- Attend and document all project meetings.
- Lead OAC and stakeholder meetings.
- Track addenda, drawings, clarifications, and documentation.
- Manage RFIs, submittals, change orders, invoices, and payments.
- Maintain weekly progress reporting and key decision documentation.
5. Schedule, Cost & Change Management:
- Develop and manage master project schedule.
- Review contractor proposals and schedules.
- Assess sequencing and progress.
- Manage cost estimates and change control.
- Monitor cash flow and prevent scope creep.
- Oversee invoice and payment processes.
6. Quality, Safety & Site Oversight:
- Ensure QA/QC processes and documentation compliance.
- Perform safety walks and site observations.
- Ensure EHS compliance.
- Support stakeholder decision-making.
- Manage on-site suppliers and vendors.
7. Project Close-out:
- Initiate close-out before project completion.
- Collect all close-out documentation: warranties, as-builts, O&M manuals.
- Oversee final inspections and occupancy processes.
- Manage punch lists and final completion.
- Close out change orders, disputes, and financials.
- Submit final project accounting.
Reporting Protocols:
- Weekly boots-on-the-ground reports.
- Weekly project progress reports.
- Monthly cash flow updates.
- Weekly supplier and coordination meetings.
- Scheduler and cost manager check-ins.
- OAC meetings as needed.
