Job description

This role is responsible for supporting the day-to-day administrative functions of the rental fleet, helping ensure accurate tracking of rental assets, timely documentation, and efficient record management. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks while maintaining a high level of accuracy.
Duties/Responsibilities

  • Provide administrative support to Fleet Rental Asset Coordinators.
  • Enter new rental assets into the Vista system and maintain accurate asset information.
  • Organize and maintain electronic and physical rental asset records and documentation.
  • Update rental asset information, including status changes, assignments, and supporting documentation.
  • Review records for completeness and accuracy, correcting discrepancies as needed.
  • Assist with tracking rental equipment throughout its lifecycle.
  • Coordinate and maintain digital filing systems for rental agreements, purchase documentation, titles, registrations, warranties, and other related records.
  • Generate reports and provide administrative data support as requested.
  • Communicate with internal departments to obtain or verify asset information.
  • Ensure data integrity and consistency within fleet management systems.
  • Support inventory audits and asset reconciliation activities.
  • Perform other administrative duties and special projects as assigned.
Qualifications
  • High school diploma or equivalent required.
  • Associate degree in Business Administration, Logistics, or a related field preferred but not required.
  • One to three years of administrative experience, preferably supporting fleet, equipment, rental, transportation, or asset management operations.
  • Experience working with enterprise software systems such as Vista or similar ERP/fleet management systems is preferred.
  • Basic knowledge of fleet or rental asset tracking processes is preferred.
Knowledge, Skills, and Abilities
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite, including Excel, Outlook, and Word.
  • Ability to learn and effectively use Vista and other company software systems.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple assignments in a fast-paced environment.
  • Ability to work independently as well as collaboratively within a team.
  • Strong problem-solving and critical-thinking skills.
  • Professional demeanor with a customer service mindset.
