Job description

Senior Logistics Coordinators are expected to operate with a high level of independence, urgency, and accountability. Compared to an entry level role, this position carries a higher expectation of ownership, problem resolution, customer communication, carrier execution, bidding support, and process improvement. Senior Logistics Coordinators also serve as mentors and informal leaders by reinforcing process discipline and helping develop Logistics Coordinators across customer, carrier, and internal workflows.

Key Responsibilities

Customer Execution & Account Support

  • Own and oversee operational execution for assigned customers, lanes, projects, or support areas with minimal oversight
  • Ensure customer orders, appointments, tracking updates, portal activity, and service communication are accurate and timely
  • Proactively identify service risk and communicate recovery plans to Account Managers, Operations, Carrier Sales, and leadership
  • Support customer needs with clear communication, strong follow-through, and practical problem-solving
  • Use customer knowledge and operating experience to help identify improvement opportunities within customer accounts

Pricing, Quoting, Bidding & Freight Optimization

  • Quote customer freight with increased independence while balancing service, market conditions, and profitability expectations
  • Support customer bid opportunities, spot quote requests, project freight, and lane-level pricing discussions
  • Assist Account Managers and leadership with pricing strategy, lane review, customer opportunity analysis, and RFP support as needed
  • Recommend practical transportation solutions that improve service, carrier fit, execution consistency, and margin performance

Carrier Communication, Capacity Support & Booking Freight

  • Source, communicate with, and book carrier capacity when needed to support customer freight execution
  • Partner with Carrier Sales to address pickup, transit, delivery, and service recovery needs
  • Support carrier-facing execution through check calls, status updates, appointment communication, and paperwork follow-up
  • Maintain continuous communication regarding delays, route changes, facility issues, OS&D, or other freight concerns
  • Help protect service by identifying carrier-related issues early and escalating or resolving with urgency

Operational Oversight & Systems Accuracy

  • Maintain clean, accurate documentation, load notes, customer updates, carrier updates, and accounting handoffs
  • Use operational experience to identify risk, resolve issues, and recommend process improvements
  • Support reporting, customer portal compliance, appointment scheduling, and internal workflow discipline
  • Ensure loads are set up correctly and ready for invoicing, billing, and back-office processing

Mentorship & Leadership Presence

  • Serve as a mentor and subject matter resource for Logistics Coordinators
  • Model disciplined execution, ownership, communication, and urgency across the floor
  • Support training, coverage planning, best practices, and consistent decision-making across the team
  • Help improve process efficiency, customer experience, carrier communication, and overall team performance

Qualifications & Skillsets

  • Live HYWAY Traits of Reliable, Invested, Responsive, Adaptable, Passionate, and Innovative
  • High sense of urgency with the ability to re-prioritize in a fast-paced environment
  • 2-5 years of transportation, logistics, brokerage operations, or customer execution experience preferred
  • Strong ability to perform day-to-day responsibilities with limited supervision
  • Proven ability to support customer freight independently, resolve issues, and communicate service recovery plans
  • Experience or demonstrated ability to quote freight, support bid opportunities, and understand market-driven pricing decisions
  • Excellent attention to detail, time management, prioritization, and organizational discipline
  • Strong problem-solving skills with the ability to resolve issues using experience, judgment, and market awareness
  • Ability to build trust and productive relationships with customers, carriers, Account Managers, Carrier Sales, Accounting, and internal teammates
  • Technology proficient, including TMS platforms, customer portals, Microsoft tools, and reporting workflows

Success Measures

  • Consistent service execution and reduced customer or carrier-related disruptions
  • Accurate quoting, bidding support, system activity, documentation, portal updates, billing handoffs, and load visibility
  • Strong communication discipline across customers, carriers, and internal stakeholders
  • Ability to resolve issues more independently than entry level roles while escalating appropriately when needed
  • Positive mentorship impact on Logistics Coordinators and broader brokerage operations
  • Improved process consistency, issue resolution, customer experience, and operational accountability
