About the Role:

HireFrontier is seeking a highly organized, proactive, and results-driven Administrative Assistant/Project Supervisor to join our growing team in New York, NY. This exciting dual-role position is ideal for a detail-oriented professional who thrives in a fast-paced recruitment environment. You will play a vital role in ensuring the smooth day-to-day operation of our office while helping coordinate recruitment projects, client engagements, and internal hiring initiatives from start to finish.

Responsibilities:

  • Provide comprehensive administrative support, including calendar management, scheduling meetings, handling correspondence, and maintaining organized digital and physical records

  • Coordinate and oversee recruitment projects to ensure hiring timelines, client expectations, and internal objectives are achieved efficiently

  • Serve as a primary point of contact between clients, candidates, recruiters, and internal departments, ensuring clear and professional communication

  • Monitor project progress, track recruitment milestones, prepare status reports, and maintain accurate documentation throughout the hiring process

  • Coordinate with hiring managers, external partners, and vendors, including scheduling interviews, conducting follow-ups, and managing recruitment workflows

  • Manage daily office operations, including answering phones, responding to emails, organizing files, maintaining office supplies, and supporting administrative processes

  • Assist with recruiting operations, onboarding coordination, compliance documentation, applicant tracking, and other staffing-related projects as needed

  • Support process improvements by identifying opportunities to streamline administrative and recruitment workflows for greater efficiency

Requirements:

  • Previous experience in an administrative, office management, staffing, recruitment, or human resources role is preferred

  • Project coordination or supervisory experience is highly desirable and considered a strong advantage

  • Exceptional organizational, multitasking, and time management abilities with outstanding attention to detail

  • Proficiency in Microsoft Office Suite, applicant tracking systems, and general office software applications

  • Excellent written, verbal, and interpersonal communication skills with a professional and customer-focused approach

  • Ability to work independently, prioritize multiple responsibilities, and perform effectively in a fast-paced, deadline-driven environment

  • Familiarity with recruitment processes, onboarding procedures, compliance documentation, or workforce coordination is a valuable asset
