BRIEF POSITION SUMMARY
Performs highly complex (seniorlevel) administrative support work for the Office of State Administration. Reports to the office manager and works under limited supervision, with moderate latitude for the use of initiative and independent judgment, may occasionally receive instruction or assistance as new, unusual, or unique situations arise and assist others in performing higherlevel work.
WORK HOURS: Monday Friday, 8 hours a day, 40 hours a week
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES
  • Prepares, edits, and distributes correspondence, reports, forms, and documents.
  • Coordinates and performs general office duties such as routine use of computers, scanners and filing practices.
  • Explain and disseminate information concerning agency programs and procedures.
  • Maintains accurate employee distribution lists.
  • Responds to inquiries and interprets rules, regulations, policies, and procedures.
  • Compiles and enters data for charts, graphs, databases, summaries, or reports for daily, weekly, and monthly reports or as requested.
  • Conducts administrative reviews of reports, documents, applications, or summaries to ensure administrative completeness
  • Provides assistance in answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff.
  • Serves as backup to the Executive Assistant .
  • May draft, edit or distribute correspondence.
  • Attends work regularly and observes approved work hours in accordance with agency state employee policies & procedures handbook.
  • May be required to perform duty in support of national emergencies, disasters and other missions, to include holidays and weekends.
  • Performs related work as assigned.

MINIMIUM QUALIFICATIONS
EDUCATION:
  • Graduation from a standard senior high school or equivalent is required .

PREFERRED EDUCATION:
  • Associate's degree or equivalent college course work is preferred.

EXPERIENCE:
  • Three (3) years experience in office administrative support.
  • Microsoft applications to include Word, Excel, Outlook, and PowerPoint is required

PREFERRED EXPERIENCE:
  • Experience with data entry is preferred.
  • Experience providing customer service.

OTHER REQUIREMENTS:
  • Background Investigation . Selected candidate must be able to obtain a CAC and/or pass a federal security background investigation. The process includes a National Agency Check and Inquiry (NACI) and fingerprinting. New employees must complete and sign the Office of Personnel Management (OPM) Form SF85. Completed forms are submitted to the OPM for the background investigations.
  • Eligibility to Work in the U.S. The Immigration Reform and Control Act of 1986 requires all new employees to present proof of eligibility to work in the United States within three (3) days of being hired. The Texas Military Department participates in EVerify and will provide the Social Security Administration (SSA) and, if necessary, the Department of Homeland Security (DHS), with information from each new employee's Form I9 to confirm work authorization. All offers of employment are contingent upon the candidate having and maintaining legal authorization to work in the United States. Failure to present such authorization within the time specified by the U.S. Department of Labor will result in the offer being rescinded.
  • Sponsorship . Candidates must be eligible to work in the United States without requiring sponsorship.
  • Upon hire with the State of Texas, males between the ages of 18 through 25 must provide proof of registration or exemption with the Selective Service. For further information, visit the Selective Service website at https://www.sss.gov/register/

PHYSICAL/WORKING CONDITIONS
Duties typically performed both in a sedentary office setting involving sitting, standing, and walking to perform job duties. The employee will periodically lift and/or move objects up to 50 pounds. Duties will include routine use of standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines, and scanners.
