Job Description
We are seeking a full-time, on-site Fulfillment Manager also known as a Factory Planner, to join our team. The Fulfillment Manager will ensure that we are producing the right inventory to meet customer needs, and that it is packed and shipped correctly and completely in a timely fashion.
Your Responsibilities
Specifically, you will do...
  • Factory Planning: Based on inventory needs from the current backlog and management goals, determine the production schedule for the following week.
    • Adjust plan and communicate to the rest of management during the week as need arises
  • Material Purchasing: Proactively monitor supply of packaging materials and communicate needs to procurement (e.g. boxes, tape, etc.) based on current and projected demand
    • Help Procurement evaluate new material providers as necessary
    • Support new product launches and the additional materials they require
  • Daily shipping instructions: Based on management goals and inventory limitations, prioritize shipments across channels and provide packing instructions to fulfillment sub-teams
    • As of now, these three channels are DTC/parcels, Amazon, and Wholesale (LTL)
  • Supervise fulfillment team: Hire and train fulfillment sub-team leads and staff
    • Request and coordinate training of additional temp staff as necessary
    • Approve timesheets for fulfillment staff
    • Log disciplinary infractions and take corrective action where necessary
  • Shipping status: Provide daily inventory, backlog, and shipping updates; and one off answers to fulfillment status requests
  • Shipstation Manager: Own Shipstation setup, maintenance, and usage.
    • Create and modify shipping filters and automation rules based on new skus and configurations
    • Monitor for "limbo" shipments and re-send
    • Send daily shipping manifests to WWEX
    • Print labels directly, and ultimately delegate to other qualified team members
    • Independently resolve minor shipstation errors, and escalate to IT and their support when needed
  • Performance tracking: Log boxes and palettes shipped in the appropriate tracker daily
  • Special Requests: Ensure one-off priority orders are shipped quickly
  • Training and instructions: Provide clear bilingual instructions for all fulfillment functions; box packing arrangements and label printing specifically
    • Create and update these instruction books in google docs/notion.
  • Shipping Provider PoC: Own the relationship with freight brokers, UPS terminal, drivers, etc.
    • Schedule pickups, negotiate terms, build relationships, etc.
  • Large shipments: Coordinate LTL/FTL shipments with freight brokers and wholesale teams
    • Log status of large shipments and POs in the shipping and receiving tracker
  • Shipping price optimization: Work with shipping providers as necessary to improve pricing
  • Returned Packages: Make returned boxes available to quality control for evaluation
  • Process Efficiency: Measure and improve the per-person performance of fulfillment operations (e.g., improve bags shipped per person)

Qualifications
  • Bi-lingual preferred
    • Willingness to learn languages will be supported for exceptional candidates

  • Basic spatial reasoning skills. Bags, boxes, palettes, etc.
  • People Management skills. Comfortable delegating tasks and correcting behavior when needed
    • Understand that you will set an example for everyone below you.
  • Professional attitude toward both internal and external personnel
  • Comfortable with digital-first role: this is less a hands on job
  • High degree of attention to detail, won't let anything slip through the cracks
  • Affinity for numbers and basic numerical analysis.
  • Comfortable in a rapid-changing environment
  • Basic familiarity with computers in general and the following software tools:
    • Email
    • Excel/Google Sheets
    • Printing documents
