Position Overview

As an Operations & Contracts Coordinator, you will play a vital role in supporting both administrative and operational functions. From managing contract billing and reporting to assisting with driver coordination and service delivery, you'll help ensure the accuracy, efficiency, and reliability of our transportation operations.

Key Responsibilities of a Operations & Contracts Coordinator:Contract Administration & Billing Support
  • Review and reconcile billing records to ensure accuracy and consistency
  • Generate, process, and distribute client-specific invoices
  • Monitor billing activity and maintain accurate financial documentation
  • Research and resolve invoice discrepancies and account issues
  • Track payments and support accounts receivable processes
  • Monitor account aging and assist with collections-related reporting
  • Maintain compliance with company policies and internal controls
  • Prepare operational, financial, and performance reports
  • Identify opportunities to improve billing processes and administrative efficiency
  • Support audits and documentation reviews as needed
Transportation Operations Support
  • Coordinate driver assignments and transportation schedules based on service needs
  • Monitor daily transportation activity and assist with operational adjustments
  • Communicate with drivers, customers, and internal departments to ensure service continuity
  • Assist with route planning, schedule updates, and service modifications
  • Maintain accurate operational records and service documentation
  • Respond to customer inquiries regarding transportation services and trip status
  • Help ensure timely, efficient, and reliable transportation delivery
  • Support operational teams in resolving service-related challenges
Reporting & Collaboration
  • Compile and analyze operational and billing data
  • Assist leadership with reporting, metrics tracking, and performance monitoring
  • Collaborate with accounting, operations, customer service, and management teams
  • Support continuous improvement initiatives that enhance efficiency and service quality
  • Maintain confidentiality and accuracy when handling sensitive information
Qualifications of a Operations & Contracts Coordinator:
  • Associate's or Bachelor's degree preferred, or equivalent experience in transportation, dispatching, accounting, finance, administration, or a related field
  • 3+ years of relevant experience preferred
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Excellent analytical, problem-solving, and decision-making abilities
  • Strong written and verbal communication skills
  • Experience with billing systems, invoicing, or financial reporting preferred
  • Proficiency with Microsoft Office, including Excel, Word, and Outlook
  • Ability to learn new software platforms and operational systems quickly
  • Customer-focused mindset with a collaborative approach to teamwork
