Job Summary/Basic Function
Perform a variety of complex administrative duties in accordance with Shepherd University and governing board procedures/ policies, as well as policies of WV State Police and SOP's for law enforcement agencies.
Minimum Qualifications
Job requires basic knowledge in a specific area typically obtained through a business, technical or vocational school as might normally be acquired through up to 18 months of education or training beyond high school.
Over two years of relevant experience.
Necessary skills include:
Work experience with printers, scanners, and computers.
Excellent oral and written communication skills.
Strong organizational and decision making abilities.
Equivalent combination of experience and training which provides the required knowledge, skills and abilities may be considered.

Job Duties
Description of Job Duties
Maintain the Campus Police Department database re parking registrations and tickets. Produce reports relating to vehicle registrations and parking citations. Provide assistance to the Parking Ticket Appeals Officer.
Production of database reports related to crimes reported and investigative status. Assist officers with input of reports and maintenance of CAD (Computer Aided Dispatch) system. Serve as principal technical specialist in the Department in the administration of the Precinct system, including management of monthly data submissions to State Capitol.
Processing, billing, posting and receiving payment for parking registrations and parking citations. Utilization of the WEAPON system for tracing unregistered vehicles and for running criminal history on persons of interest for officers.
Management, under direction of the Police Chief, of the departmental budget, procurements, invoices, and purchasing card. Reconcile departmental Visa statement monthly in accordance with all rules and policies by the Shepherd University Procurement Office.
Assistance to Campus Police officers in the preparation of Crime Reports, Incident Reports, Traffic Accident Reports and other reports as necessary. Designing and editing various forms for the office.
Manage office equipment including ordering supplies and coordinating service as needed. Make departmental purchases including but not limited to office supplies, clothing and officer's equipment. Contacts vendors to gather information on equipment specifications and purchase price. Distributes mail and literature to the department as appropriate.
Provide general administrative assistance to the University Police Chief and Campus Police Officers. Establish and maintain office files and records. Assemble information from these and other sources in response to requests made by the University Police Chief. Record and distribute notes at staff meetings as requested by the University Police Chief.
Review outgoing correspondence prepared by other staff members for consistency with administrative policy, as well as for format, grammatical construction and clerical errors. Compose correspondence in accordance with general instructions on a wide range of subjects requiring the knowledge and familiarity of the policies of the University.
First response for calls and inquiries for police assistance from students, faculty and staff. Serve as a source of information for explanation of Shepherd University policies and procedures as they relate to the Campus Police Department. Provide assistance to the FBI and other government agencies in the performance of background investigations regarding former Shepherd University students.
Make travel arrangements for the department staff. Prepare travel requisitions and reviews expense reports for submission to the appropriate office.
Provide functional guidance and training to student workers who perform the task of issuing ticket citations. Train part-time clerical help.
Program swipe card access to doors and parking gates for specified employees.
Special events requiring law enforcement to be present
Other duties as assigned.
