Job description

The Safer Foundation is a social service provider to individuals with arrest and conviction records. Through a full range of services, including case management, educational instruction and advocacy, we focus on preparing individuals for the world of work by helping them find and keep productive and meaningful employment
General Summary:
Funded by Illinois Community College Board Adult Education and Literacy, the Data Coordinator Specialist will report to the Director of Adult Education and serve as the Adult Education Department Liaison of data management to student record-keeping. This includes systems set-up, data input, conservation, and compliance. Developing effective coordination methods and strategies that lead to a high-level of student digital enrollment and performance activity. This position will build relationships with education sites, Workforce Development partners and designated stakeholders. Internally, strategically plan with Education Department managers, and report out on program activity and set performance measures.

Essential Duties and Responsibilities:
Stakeholder Interface and Service
  • With direction, determine the effectiveness of current student enrollment strategies and processes, develop and implement change to facilitate data management.
  • Serve as Education Department representative in organizational quality performance campaigns/projects, delivering the Safer brand and services.
  • With minimal errors perform the task necessary to complete "data management" (stages: preparing, digital on-boarding, attendance, performance, and requested or regulatory reporting). Inputs student data into the directed application, database, and/or system(s) or accurately within prescribed completion target.
  • With minimal errors develop and provide spreadsheets and reports that will reflect queries of program performance. Deliver data information to program management and designated parties timely.
  • In alignment with the Adult Education Department business hours (8AM - 4PM) provide described support through this time period, with occasional after-hours support, both remotely and onsite.
  • Assume other tasks as may be deemed appropriate and necessary by supervision.
  • Highly analytical, detail minded, technically savvy; possesses a broad understanding of corporate goals and keen ability to interpret data.
  • Must be able to adapt quickly to completing departmental goals, hard-working and determined never giving up on tasks in need of unannounced decisive measures.
Stakeholder Outreach and Recruitment
  • As part of the Adult Education team, attend and participate in resource fairs, local, city, regional, and state community activities, and other public and departmental related events.
Tracking, Document, and Reporting
  • Participates in and provides analytical support in on-boarding projects, tracking progress, determining professional development, and performing programmatic adjustments.
  • Produce bi-weekly reports that are reflective of current and cumulative goals. Produce comprehensive monthly reports that are reflective of current and cumulative goals and activities. Analysis should be included to speak to trend in month's events.
Required Knowledge, Skills and Abilities:
  • Strong vibrant meaningful communication
  • Hands-on experience and self-sufficiency with Microsoft productivity tools, including Outlook (for email), Office (Word, PowerPoint, Excel), and online collaboration tools (video conferencing, Zoom/Teams, messaging).
  • Professionalism, organization, and project management skills
  • Pick-up trained task expeditiously
  • Competent and timely data entry skills.
  • Multitasking skills
Education and Experience:
  • Associates degree or higher in or related field; or 2+ years of large data base management experience.
  • 1+ years of data entry and network administration experience.
  • Education/Training recruitment experience a plus.
Licenses and or Certifications:
  • Data Entry Certifications from accredited training institutions a plus, but not required.
