Job description

Sales Administrative Assistant Full-Time | In-Office | Approximately $25.00 per hour 

Position Summary: KeyStaff is looking for an organized and motivated Sales Administrative Assistant to support our sales team and assist with general office and recruiting duties. This is an entry-level to early-career position for someone who is comfortable using a computer, working in Excel, making phone calls, sending emails, and communicating with clients, prospects, and candidates. Training will be provided on KeyStaff's systems and processes. Sales & Administrative Support 

• Assist the sales team with daily administrative tasks and follow-up. 
• Maintain and update prospect and client lists. 
• Use Excel to organize prospect lists and contact information. 
• Enter and update information in Avionte, Apollo, and other company systems. 
• Research companies and find potential sales leads and contact information. 
• Assist with creating prospect lists and sending sales campaigns. 
• Send introductory and follow-up emails to prospective clients. 
• Make outbound calls to prospects using lists provided by the sales team. 
• Follow up with prospects as directed and keep notes on calls and emails. 
• Help keep prospect lists and sales follow-up organized. Agreements & Proposals 
• Send agreements, proposals, rate information, and other documents to prospective clients. 
• Follow up by phone or email on outstanding agreements and proposals. 
• Keep track of documents that have been sent and returned. 
• Update the sales team on responses and follow-up needed. 
• Assist with entering new client information into company systems. General Office Support 
• Answer incoming office phone calls. 
• Assist clients, employees, applicants, and visitors. 
• Help schedule appointments, interviews, and meetings. 
• Prepare basic spreadsheets, documents, and reports. 
• Maintain organized electronic files and records. 
• Assist management and other team members with administrative projects as needed. Recruiting Support: Because KeyStaff is a staffing agency, this position will also assist the recruiting team when needed. 
• Greet candidates who come into the office and assist with applications and paperwork. 
• Conduct basic in-person candidate interviews. 
• Call candidates about available jobs. 
• Review resumes and applications. 
• Schedule candidates for interviews or assignments. 
• Help recruiters fill open positions when needed. 
• Follow up with candidates and employees. 

Qualifications:
• 1–2 years of administrative, customer service, recruiting, or sales support experience preferred. 
• Comfortable using Microsoft Excel, Word, Outlook, and basic office technology. 
• Strong phone and communication skills; must be comfortable making outbound calls. 
• Organized, dependable, and able to manage multiple follow-up items. 
• Professional and friendly when communicating with clients, prospects, candidates, and employees. 
• Ability to learn new systems; Avionté and Apollo experience is a plus but not required. 
• Willing to assist with sales, recruiting, and general office needs as required. Ideal Candidate

We are looking for someone dependable, organized, comfortable on the phone, willing to learn, and able to take direction and follow through. The right person will help keep sales activity organized while also being willing to jump in and support the office and recruiting team when needed.
