About the Role

Kinterra is seeking an experienced Executive Assistant to provide exceptional executive support while overseeing the day-to-day operations of our Toronto office. This is a highly visible, firmwide role that partners closely with multiple senior leaders to ensure seamless administrative operations and an exceptional workplace experience.


The successful candidate will manage complex executive calendars, coordinate meetings and travel, oversee expenses, liaise with office vendors, support facilities management, coordinate employee onboarding, and lead a variety of administrative projects. They will play a key role in maintaining an efficient, professional, and well-organized office environment while enabling senior leadership to operate effectively.

The successful candidate exercises sound judgment, anticipates the needs of executives and the business, follows through on commitments, and consistently delivers a high standard of service to internal and external stakeholders.


Key Responsibilities:


Executive Calendar Management:

  • Complex calendar support across multiple time zones
  • Coordinate internal and external meetings, board meetings, and executive sessions with precision and foresight
  • Proactively anticipate scheduling conflicts and resolve efficiently
  • Ensure executives are fully briefed and prepared for each engagement


International & Domestic Travel Coordination

  • Plan, book, and manage comprehensive domestic and international travel itineraries including flights, hotels, ground transportation, and visa requirements
  • Coordinate travel logistics for Project Directors across Kinterra’s portfolio companies
  • Anticipate and resolve travel disruptions swiftly and professionally


Executive Expense Management

  • Manage corporate cards, expense reconciliations, and reporting for Partners
  • Ensure timely and accurate submission of expense reports
  • Maintain compliance with firm expense policies


Board & AGM Support:

  • Coordinate board meeting logistics including scheduling, materials preparation, and distribution
  • Support Annual General Meeting (AGM) planning, coordination, and execution
  • Liaise with board members, external advisors, and internal stakeholders


Stakeholder & Communications Management:

  • Serve as a professional and personable interface for executives with internal teams, portfolio companies, and external partners
  • Draft and manage executive correspondence, presentations, and communications
  • Build trusted relationships with Finance, People & Culture, Project Directors, and Investment Team


Administrative Operations & Process Improvement

  • Identify and implement improvements to administrative processes and efficiencies across the executive function
  • Maintain organized filing systems, documentation, and records management
  • Manage ad hoc projects and special assignments as directed by senior leadership


What you Bring

Required:

  • 2 – 5 years of progressive Executive Assistant experience supporting Partners, Managing Directors, C-suite executives, or equivalent senior leadership.
  • Background within Private Equity, Legal, or Financial Services
  • Exceptional written and verbal communication skills with strong executive presence.
  • High level of professionalism, discretion, and integrity in handling confidential information.


Preferred:

  • Prior experience in a Private Equity, Investment Management, or Legal environment.
  • Exposure to mining, infrastructure, or global business contexts.
  • Experience supporting executives across multiple geographies and time zones.
