Job Overview

Reporting to the Director, Governance & Administrative Services, the Manager, Administration, is responsible for the overall management of programs and services within the Administration department of the Haisla Nation. This includes managing day-to-day activities in the areas of support and coordination for the administration staff.

The Manager, Administration is responsible for the leadership, management, and supervision of the Clerk to Council, Executive Assistants, Front Desk Receptionist, and Membership Clerks

The Haisla Nation is the band government of the Haisla people. Our mission is to build a powerful, prosperous and proud community, healthy in mind, body and spirit. We are about 1962+ people, with approximately 532 living in Haisla (Kitamaat Village). We have lived off the land and waters of our traditional territory for thousands of years, and it remains the focus of all we do.

Duties & Responsibilities

Administration:

  • Oversee the daily operations of the Administration department.
  • Ensure administrative services are delivered efficiently and in alignment with Haisla Nation policies and procedures.
  • Identify operational issues and recommend practical improvements to support effective service delivery.
  • Ensure deadlines, reporting requirements, and administrative priorities are tracked and completed on time.

Program Operations: The Manager, Administration oversees and manages the day-to-day operations of the Administration program.

  • Support the Director, Governance & Administrative Services with departmental planning, priorities, and implementation of administrative initiatives.
  • Help coordinate projects, timelines, and deliverables within the Administration department.
  • Support policy and procedure implementation as directed.
  • Contribute to continuous improvement of administrative services.

Financial Management: The Manager, Administration manages the program’s budgets, ensuring sound financial management.

  • Monitor Administration department budgets, invoices, purchase orders, and expenses.
  • Support annual budget preparation and quarterly budget variance review.
  • Ensure administrative purchases and expenses follow approved financial policies and procedures.
  • Work with Finance and the Director to address budget or reporting issues as they arise.

People Leadership: The Manager, Administration supports the capacity and capability of their direct reports, including their professional development. The Manager, Administration is a resource and mentor to the team, providing guidance and direction on risks, issues, or problems to ensure services achieve intended benefits and meet expectations.

  • Provide day-to-day leadership, supervision, and guidance to Administration staff, including the Clerk to Council, Executive Assistants, Membership Clerks, and Front Desk Receptionist.
  • Support employee orientation, training, performance feedback, and workload planning.
  • Promote a respectful, cooperative, and professional work environment.
  • Monitor attendance, leave requests, scheduling needs, and general staff performance concerns in consultation with HR when required.

Skills & Qualifications

  • Diploma or degree in Business Administration, Office Administration, Public Administration, or a related field; an equivalent combination of education and experience may be considered.
  • 3 to 5 years of related administrative or office management experience.
  • Experience supervising staff, coordinating workloads, and supporting team performance
  • Experience working for a band government or Indigenous organization is an asset.
  • In-depth understanding of office management procedures.
  • Knowledge of budget development and monitoring budget variances.
  • Experience monitoring and reporting on activities funded from various sources; solid writing skills are required.
  • Ability to set goals and implement an operational plan for the department.
  • Strong analytical and problem-solving abilities, with a focus on data-driven decision-making.
  • Strong working knowledge of Microsoft Office (Excel, Word, Power Point) and various databases, search engines and Outlook/email.
  • Strong organizational and time management skills with an attention to detail.
  • Strong written and verbal communication skills.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Ability to meet intensive and changing deadlines.
  • Experience in change management and organizational development.
  • Satisfactory completion of criminal records check (with vulnerable sector screening if relevant).
